Dealer Contract Clerk

Job Description

The Dealer Contract Clerk is responsible for accurately preparing, reviewing, and processing vehicle sales and finance contracts in compliance with dealership policies and state and federal regulations. This role ensures proper documentation, timely submission to lenders and DMV, and maintains organized records to support smooth vehicle sales operations.

Key Responsibilities

  • Prepare and process vehicle purchase, lease, and finance contracts
  • Verify accuracy and completeness of all contract documents
  • Review contracts for compliance with dealership policies and legal requirements
  • Submit contracts to banks, lenders, and financial institutions in a timely manner
  • Coordinate with Finance Managers, Sales staff, and lenders to resolve contract discrepancies
  • Process DMV paperwork including title, registration, and lien documentation
  • Track funding status and follow up on outstanding contracts
  • Maintain organized and confidential records of all contracts and related documents
  • Audit completed deals to ensure accuracy and compliance
  • Assist with month-end closing and reporting as needed
  • Respond to internal and external inquiries regarding contracts and documentation

Required Skills & Qualifications

  • High school diploma or equivalent (Associate’s degree preferred)
  • Previous automotive/powersports dealership or finance office experience strongly preferred
  • Knowledge of vehicle sales contracts, finance paperwork, and DMV processes
  • Strong attention to detail and accuracy
  • Ability to work with deadlines in a fast-paced environment
  • Proficiency with dealership management systems (DMS) and Microsoft Office
  • Strong organizational and communication skills
  • Ability to handle confidential information with discretion

 Qualifications

  • Familiarity with state and federal automotive finance regulations
  • Experience working with lenders and funding processes
  • Prior experience auditing automotive deals

Work Environment

  • Office-based role within an automotive dealership
  • May require extended hours during peak sales periods
