Jim Barnard Chevrolet is seeking an experienced, detail-oriented, and motivated Office Manager/Assistant Controller to join our family-owned Chevrolet dealership in Churchville, NY.

Position Responsibilities
The Office Manager/Assistant Controller is responsible for overseeing the daily operations of the dealership business office and assisting with all accounting and financial functions. This position reports directly to the Controller and works closely with dealership ownership and department managers.
  • Supervise and support office staff, including hiring, training, scheduling, and performance management.
  • Oversee day-to-day office operations and administrative procedures.
  • Manage Accounts Payable and Accounts Receivable functions.
  • Reconcile vehicle floor plan accounts and customer loan payoff accounts.
  • Post accounting transactions accurately within the dealership management system (DMS).
  • Perform daily cash reconciliation and bank deposits.
  • Reconcile general ledger accounts and maintain accounting schedules.
  • Process and reconcile manufacturer warranty receivables, rebates, incentives, and other dealership receivables.
  • Calculate and process employee commissions.
  • Process weekly & monthly payroll.
  • Prepare and submit sales tax, tire tax, and other required tax filings.
  • Generate daily and monthly financial reporting for dealership management.
  • Assist with month-end and year-end closing activities.
  • Maintain compliance with manufacturer, state, and company accounting policies and procedures.
  • Assist in preparing and submitting monthly financial statements to General Motors.
  • Assist the Controller and Dealer Principal with special projects and financial analysis as needed.

Qualifications
Required
  • Strong organizational, leadership, and communication skills.
  • Experience supervising office employees.
  • High level of accuracy and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong proficiency with Microsoft Excel, Outlook, and Word.
  • Positive attitude with a strong work ethic and team-oriented approach.
  • Strong integrity and ability to maintain confidentiality when handling financial and employee information.
  • Associate's degree in Accounting, Business Administration, Finance, or equivalent work experience.
  • Professional references.

Preferred
  • Previous automotive dealership accounting experience.
  • Understanding of dealership financial statements and accounting processes.
  • Knowledge of GAAP principles.
  • Experience with Auto/Mate, Dealertrack, R&R, CDK, or similar dealership management systems.
  • Experience with payroll processing, reconciliations, and month-end closing procedures.
  • Bachelor's degree in Accounting, Business Administration, Finance, or a related field preferred.
