Job description

Summary

The Contract Data Entry Coordinator is responsible for accurate and timely entry, maintenance, and processing of rental contract data, payment information, and subcontractor purchase orders within internal systems. This role ensures data integrity, supports timely revenue and payment operations, and collaborates across teams to resolve discrepancies, including approving purchase orders to ensure subcontractors are paid promptly.

Essential Functions

  • Review rental contracts and payment information for completeness.
  • Perform accurate and timely data entry of contracts and payment information into internal systems; review for accuracy and completeness.
  • Maintain and update rental master files in Excel accurately and on time.
  • Process price increases in Service Titan in a timely and accurate manner.
  • Review and approve purchase orders for subcontractors to ensure timely weekly payments.
  • Collaborate with credit and collections teams to resolve delinquent accounts.
  • Resolve problems by clarifying issues, researching answers, and identifying alternate solutions.
  • Maintain contract filing systems as required.
  • Serve as liaison between customers, technicians, Home Comfort Advisors (sales), and CSRs regarding inquiries and/or appointments.
  • Handle special projects and perform other duties as assigned.

Qualifications

  • High school diploma or GED required.
  • Proven experience in order/data entry and customer service.
  • 1โ€“3 years of related experience.
  • Strong attention to detail is a key requirement of this role.
  • Must be efficient, accurate, and highly organized.
  • Excellent communication (written and verbal), interpersonal, conflict management, and time management skills.
  • Working knowledge of Microsoft Office Suite with strong proficiency in MS Excel.
  • Ability to manage data collection with a high level of accuracy and attention to detail.
