What is contract catering?

Contract catering refers to the provision of food and beverage services by a third-party company to organizations, businesses, or institutions, usually under a formal agreement or contract. These services are commonly used in places like schools, hospitals, offices, factories, and event venues where an in-house catering team might not be practical or cost-effective. Contract caterers manage everything from menu planning and food preparation to staffing, serving, and sometimes cleaning up. The goal is to deliver high-quality, reliable meal services tailored to the specific needs of the client organization.

What are the key skills and qualifications needed to thrive in contract catering, and why are they important?

To thrive in Contract Catering, you need a solid background in food preparation, menu planning, and food safety regulations, often supported by relevant culinary qualifications or hospitality management experience. Familiarity with catering management software, inventory systems, and certifications such as food hygiene are typically required. Strong organizational skills, customer service orientation, and effective teamwork help professionals excel in delivering tailored catering solutions. These skills ensure quality service, compliance, and client satisfaction in a fast-paced and competitive catering environment.

What are some common challenges faced by professionals working in contract catering, and how can they be managed effectively?

Professionals in contract catering often face challenges such as adapting to varying client expectations, managing tight budgets, and ensuring consistent food quality across different sites. To manage these effectively, it's important to maintain clear communication with clients, implement standardized procedures, and foster a strong team culture that emphasizes flexibility and attention to detail. Additionally, leveraging technology for inventory and scheduling can help streamline operations and reduce errors, making it easier to deliver high-quality service regardless of the location.

Contract Catering involves providing food services on a contractual basis for clients like corporations or institutions, often at multiple sites. Catering Supervisors oversee daily catering operations, manage staff, and ensure service quality within a specific venue. While both roles require food safety knowledge, Contract Catering focuses on large-scale contract delivery, whereas Catering Supervisors manage on-site catering teams and operations.

What do contract caterers do?

Contract caterers provide food services to clients such as businesses, schools, hospitals, and events under contractual agreements. They handle menu planning, food preparation, and service delivery, often managing staff and ensuring health and safety standards are met. These roles typically require knowledge of food safety regulations and strong organizational skills.

With acclaimed hotels such as Hotel Saint Vincent in New Orleans and new projects underway in Texas, Colorado, and California, we’re building a portfolio rooted in excellence and originality.

ABOUT THE ROLE

Word of Mouth Fine Catering, a proud member of MML Hospitality, is seeking a highly organized, operations-driven Operations Associate to support the day-to-day execution of catering logistics, internal coordination, and service operations.

This role is central to ensuring operational consistency, accuracy, and efficiency across production, distribution, and event support. You will work cross-functionally with culinary, logistics, sales, and on-site event teams to ensure that all orders—including drop-off, pick-up, and full-service events—are executed to the MML standard of excellence.

WHY YOU’LL WANT TO WORK FOR MML

  • Competitive Pay + Performance Incentives
  • Professional Development and Advancement Opportunities
  • MML Property Discounts (Restaurants and Retail)
  • Comprehensive Health Benefits – Medical, Dental, Vision, Disability, Life & Pet Insurance
  • Retirement Benefits
  • Parental Leave
  • Paid Time Off
  • Collaborative, Supportive, High-Standards Team Culture
  • Community Service & Engagement Opportunities

WHAT YOU’LL DO

Operations & Logistics Execution:

  • Serve as the operational hub for daily catering activities, ensuring alignment between sales, culinary, service, and logistics teams.
  • Oversee production timelines, delivery routing, equipment preparation, and day-of-order readiness.
  • Monitor kitchen worksheets, production workbooks, and operational schedules to ensure accuracy and efficiency.
  • Confirm prep lists, packing lists, and distribution needs for drop-off and full-service events.
  • Troubleshoot last-minute changes, logistical challenges, or client needs in real time.

Event Administration & Documentation:

  • Maintain detailed and accurate Banquet Event Orders (BEOs), ensuring all operational components are clearly communicated across departments.
  • Post and distribute finalized BEOs, delivery manifests, and supporting materials to culinary and logistics teams.
  • Prepare operational materials, including menus, buffet cards, production binders, and equipment lists.
  • Assist with vendor contract collection, tax resale documents, payment processing, and administrative workflows as needed.

Full-Service Event Support:

  • Support the Senior Catering Sales Manager with staffing coordination, scheduling, and on-site operations for large-scale events.
  • Assist with load-ins, equipment organization, and setup/strike as required.
  • Maintain strong communication with event captains and on-site leads to ensure smooth execution and adherence to standards.

Communication & Cross-Department Coordination:

  • Act as a liaison between departments to ensure all operational details are accurate and up to date.
  • Provide clear, timely communication around changes, deadlines, and operational needs.
  • Contribute to a positive culture by supporting collaboration, accountability, and continuous improvement.

REQUIREMENTS

  • Minimum of 2 years of experience in catering operations, logistics, event production, or hospitality operations.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, including strong public speaking skills.
  • Proficiency with scheduling or event management platforms such as Total Party Planner, 7Shifts, Google Workspace, and Excel/Google Sheets.
  • Ability to problem-solve and adapt quickly under pressure.
  • Availability to work evenings, weekends, and holidays as required, with the flexibility to work outside of a traditional 9-to-5 schedule.
  • Ability to stand, move, and lift up to 50 lbs.
  • Reliable transportation required.

PHYSICAL REQUIREMENTS

This role requires regular standing, walking, reaching, and lifting up to 50 pounds. Employees may need to stoop, kneel, crouch, or climb. Vision abilities may include close, distance, color, and peripheral vision, as well as the ability to adjust focus. Reasonable accommodations may be made for individuals with disabilities.

BACKGROUND CHECK

If an offer is extended, candidates must complete a comprehensive background check, which may include verification of employment history, education, criminal records, and other relevant information.
