Job description

We are looking for a reliable Bookkeeper to join an on-site team in Bronxville, New York, in a contract position with the potential to become permanent. This role supports a portfolio of condominium, cooperative, and homeowners association properties and is centered on keeping financial activity accurate, organized, and on schedule. The ideal candidate is comfortable handling recurring accounting tasks, communicating clearly with internal and external stakeholders, and working confidently with financial systems and day-to-day bookkeeping processes.


Responsibilities:

• Manage recurring owner and shareholder charges, including maintenance fees, common charges, assessments, and related billing activities across assigned properties.

• Record incoming payments, update account balances, review past-due accounts, and issue routine follow-up notices when needed.

• Maintain accurate property ledgers by entering journal entries, adjustments, and other routine bookkeeping transactions.

• Review vendor invoices for proper coding and process payments after confirming required approvals are in place.

• Perform monthly bank reconciliations, compare account activity to the general ledger, and investigate any variances.

• Complete assigned month-end close tasks within established deadlines to support timely and accurate financial reporting.

• Address routine account and billing questions from residents or shareholders with professionalism and clarity.

• Partner with property managers to resolve payment issues, research account discrepancies, and support vendor-related follow-up.

• Prepare reports and provide supporting financial documentation for leadership, external accountants, auditors, and board requests as needed.

• At least 3 years of experience in bookkeeping, accounts payable, accounts receivable, property accounting, or a closely related function.
• Working knowledge of core bookkeeping processes, including billing, cash posting, payment application, vendor invoice processing, and bank reconciliation.
• Ability to manage multiple recurring deadlines while maintaining a high level of accuracy and attention to detail.
• Comfort working with financial records, account balances, and journal entries in a fast-paced office setting.
• Basic proficiency with Microsoft Excel, Word, and Outlook, along with confidence using accounting and office software.
• Strong written and verbal communication skills when interacting with coworkers, property managers, vendors, and residents.
• Experience in residential property management accounting, real estate bookkeeping, or similar environments is preferred.
• Familiarity with QuickBooks or comparable accounting systems is helpful; training can be provided on company-specific platforms.
