Client Pharmaceuticals Contract Administrator

Client Pharmaceuticals is a top ten global pharmaceutical company. The role involves providing administrative support to the Legal team (lawyers, paralegals, and non-lawyers) using the contract management/review systems.

Primary Role

Contract verification/review responsibilities for Client's Legal teams under appropriate attorney supervision. Provide guidance and support to Client's internal and external Infotrees for contractual matters.

Job Responsibilities

โ€ข Process and review contract requests received from team members (ensuring correctness of data and compliance with relevant policies and guidelines) from the point of entry to the system until the point of the contract is executed and filed and purchase enabled (e.g. PO issued). โ€ข Review and confirm contract terms following Legal-approved template terms. โ€ข Be a contracting system expert, supporting the proper filing of contracts with complete metadata, proper processing, and Infotree user training and system support. โ€ข Manage usage of Legal contracting systems and financial systems. โ€ข Prepare and monitor relevant metrics. โ€ข Provide customer service and maintain good relationships with our internal and external customers through professional behavior consistent with Client policies. โ€ข Help resolve complaints and disputes between requestors, purchasing, receiving, vendors, and any other applicable stakeholders.

Key Competencies

โ€ข Bachelor's degree and some operational experience with contract processes. โ€ข Fluent in English and preferred business level fluency in the region's primary operating language. โ€ข Excellent data inputting and data quality control skills. โ€ข Significant competency in using technology, including contract management systems and repositories, navigating a database, and managing and manipulating Word documents. โ€ข Excellent communication and interpersonal skills with the ability to network across functions. This is a business critical function that interacts with numerous other internal business and company functions Organized, responsible, detail-oriented, and proactive. โ€ข Demonstrated understanding of how to translate business requirements. โ€ข Experience or knowledge of global or shared service operating environments. โ€ข Requires knowledge of the structure of a contract template (or any other structured document set out in MS Word which requires numbering and locking for tracked changes, content controls to convert to forms, etc.) โ€ข The candidate should be a motivated, self-starter who can manage a busy workload with minimal day-to-day supervision, and exercise good judgment.
