Overview We are seeking a proactive and detail-oriented Administrative Coordinator to join our team! The Administrative Coordinator will provide critical administrative and operational support across the organization. This role serves as a central point of contact for project teams, vendors, clients, and internal departments. The Administrative Coordinator is responsible for efficient communication, document control, scheduling, and operational support. This role is also responsible for document control, data entry, schedule and budget tracking assistance, and general office support. The Administrative Coordinator assists with coordination between project managers, field staff, suppliers, and clients. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Key Responsibilities and Duties Supports Project Managers with project documentation, including submittals, RFIs, schedules, and logs. Manage and maintain project documentation, contracts, permits, drawings, and correspondence. Support project managers with project setup, tracking, reporting, and closeout activities. Provide administrative support to field teams. Answer phone(s) promptly and in a professional manager. Manage calendars, schedule meetings, send reminders, and assist with preparing presentations and meeting materials. Coordinate communication between field staff, supplies, clients and regulatory agencies. Assist with tracking expenses, gathering supporting documents, and coordinating invoices related to projects or events. Perform other duties as assigned. Qualifications Education High school diploma or equivalent (required). Experience 1+ years as administrative assistant (preferred). 1+ years working in customer service environment. Skills Excellent organizational and communication skills. Ability to work independently and collaboratively in a fast-paced environment.
