Job description

POSITION TITLE:
Secretary, Capital Programs and Operational Support
NOTE: This position will be funded through the Special Purpose Local Option Sales Tax (SPLOST) and may be eliminated when the funding expires.
RESPONSIBLE TO:
Director of Maintenance and Facilities
JOB CLASSIFICATION:
Classified Position
239-day Employee-At-Will
FLSA Status: Exempt
QUALIFICATIONS:
Education:
  • High School graduate or GED preferred.
Experience:
  • Minimum of 2 years years experience in secretarial and/or bookkeeping. Experience in Munis (Financial system) preferred
ESSENTIAL FUNCTIONS:
Provides secretarial support to Capital Projects and Operational Support: prepares and processes various Capital Projects documentations; processes purchase orders' reviews and tracks all purchases with SPLOST funds.
MAJOR RESPONSIBILITIES:
  1. Demonstrates prompt and regular attendance.
  2. Collaborates with the Director of Maintenance and Facilities for Maintenance related project and budget updates.
  3. Performs all essential task that relate to the current work order system for maintenance repairs and work flow of technician duties.
  4. Prepares and processes p-cards, purchase orders and/or reimbursement requests for approved Capital Projects expenditures.
  5. Assists in preparing budgets related to real estate acquisition, development, design, and construction.
  6. Organizes and maintains files for all active and archived Capital Projects.
  7. Performs office duties such as answering department telephone calls, routing calls to appropriate individuals, opening and routing correspondence, filing, scheduling appointments and receiving visitors.
  8. Orders, receives, and maintains office supplies for both Maintenance and Operations Dept.
  9. Acts as a backup for Executive Secretary of Operations Division and assist with payroll.
  10. Performs other duties as assigned by the Director of Maintenance and Facilities.

Skills, Knowledge, Abilities:
  • Excellent communication skills, both oral and written.
  • Excellent organizational skills, with ability to multi-task.
  • Ability to use various types of office machinery including, but not limited to, copier, scanner, printer, and multi-line telephone.
  • Ability to create spreadsheets and other related documents for budgeting purposes.
  • Knowledge of general accounting principles and purchasing.
PHYSICAL DEMANDS:
  • Frequent walking, sitting, and standing for extended periods.
  • Ability to lift and carry instructional materials and equipment up to 25 pounds.
  • Dexterity to write on a board, operate a computer, and use other classroom technology.
  • Occasional bending, stooping, and reaching.
  • Clear speech and hearing abilities for effective communication.
  • Visual acuity to read printed and digital materials.
