We are seeking a highly organized and customer-focused Construction Project Coordinator to join our team. This is a critical role responsible for keeping our construction and restoration projects running smoothly from start to finish.
Position Summary
As a Construction Project Coordinator, you will act as the central point of communication between customers, field crews, subcontractors, and office staff. You will manage project scheduling, coordinate resources, and ensure projects are completed on time and to the highest standards of quality and customer satisfaction. This position reports directly to the Disaster Restoration General Manager.
Key Responsibilities:
  • Develop, maintain, and update detailed project schedules for multiple construction and restoration jobs simultaneously.
  • Coordinate office and field scheduling, including crew assignments, subcontractor work, material deliveries, and equipment needs.
  • Conduct on-site field meetings with customers to review project scopes, timelines, expectations, and progress updates.
  • Serve as the primary point of contact for customers throughout the duration of their project, providing regular communication and addressing any concerns promptly.
  • Track project progress daily, identify potential delays or issues, and work proactively with field teams and management to resolve them.
  • Manage job documentation, including daily logs, photos, change orders, permits, and inspections.
  • Coordinate with insurance adjusters, estimators, and third-party vendors to ensure smooth claims and reconstruction processes.
  • Schedule and attend as directed final walkthroughs with customers to ensure complete satisfaction before project closeout.
  • Maintain accurate records in our job management software and help with job costing and invoicing support.
  • Monitor project budgets and alert management to any significant variances.
  • Ensure all work complies with company standards, safety protocols, and local building codes.
  • Emergency Response: Participate in on-call rotation for after hours emergencies.
  • Report directly to the Disaster Restoration General Manager on project status, challenges, and resource needs.

Requirements & Qualifications:
  • 2-5 years of hands-on experience in construction project coordination, restoration project management, general contracting, or a similar role.
  • Strong working knowledge of residential and/or light commercial construction processes and sequencing.
  • Proven ability to manage multiple projects at once in a fast-paced environment.
  • Excellent verbal and written communication skills with a professional, calm demeanor when dealing with customers.
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word) and experience with construction or restoration software (ServiceTitan, Jobber, Dash, or Xactimate preferred).
  • Highly organized with strong attention to detail and excellent time-management skills.
  • Valid driver's license with a clean driving record and reliable transportation.
  • Ability to pass a criminal background check and drug screening.
  • Flexibility to occasionally attend early morning or evening customer meetings.
  • Willingness to travel between our Defiance, Lima, and Toledo, Ohio locations as needed.
  • Business Development: Identify upsell opportunities and contribute to the growth of the restoration division.

Preferred Qualifications:
  • Previous experience in the insurance restoration industry (water, fire, storm, or mold damage).
  • Either have or willing to get IICRC certifications (WRT, ASD, FSRT etc.) or other construction/restoration training .
  • Familiarity with local permitting processes and building codes in Northwest Ohio.

Schedule may vary depending on workload, but week is to be 40-45 hours per week:

โ€ข Participation in on call rotation approximately every 6 weeks to assist with coordinating after hours service to our customer in their time of need.
