Job description

Position Summary

Holtsclaw Construction is seeking a highly organized and detail-oriented Construction Project Coordinator to support our Project Managers and field teams throughout the life of commercial construction projects. This position is responsible for maintaining project documentation, coordinating communications, tracking project deliverables, and ensuring administrative tasks are completed accurately and on time.

The ideal candidate is proactive, organized, able to manage multiple priorities, and enjoys working in a fast-paced construction environment.


Key Responsibilities

  • Maintain organized project files and electronic document management systems.
  • Manage construction drawings, specifications, revisions, and document distribution to project teams and subcontractors.
  • Order and distribute hard-copy plans to field personnel as needed.
  • Support subcontractor and vendor communications during project startup and execution.
  • Assist with project startup documentation, checklists, and administrative processes.
  • Maintain and update project logs, including RFIs, submittals, inspections, and material testing reports.
  • Coordinate permits, utility services, temporary facilities, and other project support activities.
  • Track material deliveries and coordinate scheduling with project management and field staff.
  • Assist with project closeout, including warranties, punch lists, as-built documents, O&M manuals, and turnover documentation.
  • Prepare and distribute project kickoff communications and weekly project status reports.
  • Coordinate collection and organization of project progress and final completion photographs.
  • Monitor superintendent administrative requirements, including daily reports, project photos, and required documentation.
  • Maintain project calendars, reminders, and tracking systems to ensure deadlines and deliverables are met.
  • Ensure compliance with company document control standards and internal administrative procedures.
  • Provide administrative support to Project Managers and assist with additional project coordination duties as assigned.


Qualifications

  • Previous experience in construction administration, project coordination, or commercial construction preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office (Excel, Outlook, Word) and construction management software.
  • Ability to manage multiple projects and priorities simultaneously.
