Construction Administrative Assistant (Office Secretary)


Location: Gretna LA

Schedule: Full-Time, Monday–Friday 8A.M.-4:30 P.M.

Position Overview


The Construction Administrative Assistant supports daily office operations, job scheduling, customer communication, and project documentation. This role is central to keeping field crews organized, materials ordered, estimates accurate, and billing up to date. Strong communication, attention to detail, and reliability are essential.


Key Responsibilities


• Client Communication — Answer incoming calls, respond to emails, and provide clear updates to customers regarding scheduling, estimates, and job progress.

• Job Scheduling — Coordinate daily job schedules, confirm appointments, update calendars, and communicate changes to field crews.

• Estimates & Proposals — Prepare waterproofing and construction estimates, gather job details, and assist with proposal formatting and delivery.

• Billing & Invoicing — Create invoices, track payments, follow up on outstanding balances, and maintain accurate financial records.

• Bookkeeping Support — Assist with data entry, expense tracking, vendor payments, and job-cost documentation.

• Vendor & Material Coordination — Communicate with suppliers, order materials, track deliveries, and maintain purchase records.

• Office Organization — Maintain job folders, update digital records, file receipts, and keep the office running efficiently.

• Compliance & Documentation — Assist with insurance certificates, job photos, permits, and other required documentation.


Qualifications
