CONSTRUCTION & DESIGN COORDINATOR

We build architecturally thoughtful custom homes where design matters, execution matters, and the client experience is the product.


We are seeking a Construction & Design Coordinator who is organized, design-minded, technically capable, and comfortable taking ownership. This is a hands-on coordination role connecting our clients, designers, construction team, subcontractors, vendors, and materials throughout the life of a project.

WHAT YOU WILL BE RESPONSIBLE FOR :


01 | CONSTRUCTION ADMINISTRATION

  • Manage and maintain all office Construction Plan Sets.
  • Prepare subcontractor Scopes of Work and RFPs with input from the Construction Team.
  • Distribute RFPs, organize subcontractor bids, and prepare clear bid comparisons for team selection.
  • Upload and communicate preferred bid information for client selections when required.
  • Prepare Subcontractor Agreements and coordinate subcontractor awards.
  • Confirm and post initial subcontractor availability via Gantt Chart to Buildertrend and provide schedule information to Construction Management for final scheduling.
  • Review design selections, source and upload all product specifications, installation instructions and cut sheets to Buildertend.
  • Perform material takeoffs, confirm product suitability and compatibility, and coordinate with Construction Management for approval prior to purchasing.
  • Order designated project materials and upload all purchasing documentation to Buildertrend.
  • Verify deliveries are complete and undamaged, organize and coordinate storage at company shop or delivery to the jobsite.
  • Manage material returns, credits, and vendor issues through full resolution.
  • Maintain an organized vendor database of current and potential vendors and create a Vendor Scorecard with vendor performance ratings to be used by Construction Management in awarding bids.


02 | DESIGN COORDINATION

  • Manage, procure, organize, and track finish and material samples for active projects, as well as products and materials for future consideration.
  • Receive client design or change requests and bring them to the team for direction and timely resolution.
  • Review architectural drawings, specifications, finish selections, and construction documents with a practical understanding of how they will be built.
  • Create clear markups, finish elevations, and installation diagrams using tools such as CAD, Revit, Bluebeam, Canva, or similar software to communicate design intent and support Construction Management and integrate into scopes, Subcontractor RFP’s and Subcontractor Agreements.
  • Protect the architectural and interior design vision while helping translate design decisions into buildable information.


03 | CLIENT EXPERIENCE & COMMUNICATION

  • Prepare and publish Weekly Client Project Updates in Buildertrend.
  • Schedule Monthly Client Project Meetings, prepare Meeting Agendas, print and setup all supporting documents as per agenda, prepare plan sets for meeting markups, prepare relevant documents and software for casting onto screen, ensure meeting area is clean and orderly, support Construction, Finance, and Leadership team in client construction meetings with all casting and data information.  Be ready to source answers for all client questions.  Document meeting with AI notetakers.  Review notes and meeting summary.  Assign tasks accordingly.  Post notes on Buildertrend.
  • Coordinate and document Milestone Field Meetings, including frame walks, selection reviews, and punch-related walkthroughs and post to Buildertrend.
  • Ensure all client questions, requests, selections, and decisions are documented in Buildertrend.
  • Lead clients by communicating proactively, clearly, and professionally and schedule meetings with Construction, Leadership, and Finance staff to get answers to clients in a timely fashion so clients remain informed and confident throughout construction.


WHAT WE ARE LOOKING FOR :

  • Experience in custom residential construction, architecture, interior design, construction administration, or project coordination.
  • Working knowledge of residential construction drawings and building processes.
  • Strong organizational skills with exceptional follow-through.
  • Comfortable communicating with discerning clients, architects, designers, subcontractors, and vendors.
  • Proficiency with digital project-management and design tools; Buildertrend experience is strongly preferred ; however alternative open source AI Construction Management software is under consideration.
  • Ability to use AI technology to improve research, documentation, communication, and workflow.
  • Most importantly: a strong sense of stewardship for our clients, our team, the community and of your ownership of the responsibilities.


You are expected to know your responsibilities, bring solutions—not problems, and drive them through documented completion, recognizing that every action and communication contributes to the client experience.
