About the Role:

Join Jones Land Developers as our Construction Accounting & Office Manager, where you will play a pivotal role in ensuring our operations run smoothly. This position supports the business at large and strives to help improve workplace communication and efficiency. Must be an independant, self started with strong problem solving skills who can balance office administration and project support. You will run the operational backbone of the company who sees what needs to happen next and makes it happen without waiting to be told. A detailed driven finisher who can organize everything from accounts payable/receivable, Human Resources/payroll, expense management, insurance compliance, tax preparation, project orders, equipment/automobile upkeep along with traditional office duties (filing, copying, scanning, supply ordering, etc.) The office manager reports directly to the Owner and Executive management and will oversee administrative assistants as needed. 
**QuickBooks knowledge and accounting/bookkeeping is required.**

Responsibilities:
  • Maintain an in office, 40 hour work schedule Monday - Friday to assist in administrative management, field employees and customers.
  • A positive, professional and confidential attitude pertaining all business related information including but not limited to HR files.
  • Oversee daily office operations and ensure a productive work environment.
  • Maintain office inventory and keep track of orders and budget
  • Monitor and manage accounts payable and receivables to ensure timely input of invoices and timely scheduled payments made and received.
  • Coordinate project documentation to track progress and maintain organized filing systems.
  • Monitor and manage employees' weekly expense reports and reconcile credit card statements 
  • Assist in budgeting, invoicing, and financial record-keeping.
  • Issuing monthly AIA billing on current projects while following up to ensure payments are being made. Tracking retainage throughout project. 
  • Support payroll and timekeeping administration on a weekly basis
  • Maintain monthly worker's comp reporting.
  • Obtain W-9 and Certificates of Insurance on all sub-contractors
  • Support HR functions such as onboarding and employee relations. Follow e-verify and other related HR incidences.
  • Implement office policies and procedures to enhance efficiency.
  • Track insurance, renewals, licenses, subscriptions, etc. to ensure deadlines do not get missed
  • Keep equipment/vehicle files up to date 
  • Act as a liaison between management, clients, and contractors.
  • Prepare reports and presentations for management meetings.
  • Work closely with Trucking and Real Estate divisions to maintain updated schedules, insurance, taxes, etc. 
Requirements:
  • Proficient in QuickBooks with accounting/booking background is a MUST
  • 1-3+ years of experience in office management or administrative roles.
  • Strong organizational skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Positive attitude and a proactive approach to problem-solving.
  • Experience in the construction industry is a plus.
