Your Impact
As the Rooms Coordinator, you'll be the central connection between Sales, Conference Services, Front Office, Revenue Management, Housekeeping, Accounting, and Hotel Leadership.
From the moment a group confirms their event until the final guest checks out, you'll ensure every reservation, room block, report, contract, and detail is accurate—helping create seamless experiences for both our guests and our team.

Key Responsibilities
Group Reservations amp; Hotel Operations
  • Coordinate group room reservations from booking through departure.
  • Manage room blocks using Hilton PEP and Delphi.
  • Monitor pickup, attrition, rooming lists, and inventory.
  • Coordinate room block adjustments, cutoff dates, and final reconciliations.
  • Communicate reservation updates with Front Office, Housekeeping, Revenue Management, and Conference Services.
  • Ensure all reservation information is accurate and updated promptly.
Conference Services Support
  • Support Conference Services with event coordination and guest communications.
  • Prepare contracts, welcome packets, client correspondence, and event documentation.
  • Assist with meeting scheduling and operational reports.
  • Help ensure every group arrives prepared for a successful event.
Executive Support
  • Provide administrative support to the General Manager.
  • Coordinate meetings, calendars, correspondence, and departmental communications.
  • Prepare reports, agendas, meeting minutes, and confidential documents.
  • Maintain organized files and departmental records.
Financial Coordination
  • Monitor group and catering deposits.
  • Follow up on outstanding balances.
  • Coordinate billing information with Accounting.
  • Maintain accurate client records in Hilton PEP and Delphi.
Guest Experience
  • Collaborate with hotel departments to quickly resolve guest concerns.
  • Deliver professional, responsive service that reflects Hilton's commitment to hospitality.
  • Build positive relationships with both guests and internal team members.

Qualifications
  • High school diploma or GED required.
  • Associate's or Bachelor's degree preferred.
  • 1–3 years of hotel, conference services, group reservations, or administrative experience preferred.
  • Hilton hotel experience strongly preferred.
  • Experience with Hilton PEP and Delphi preferred.
  • Strong Microsoft Office skills (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
Schedule
This position primarily works Monday through Friday during business hours. Flexibility is required to support hotel operations, group arrivals, special events, and occasional evenings, weekends, and holidays as business needs require.
