Job description

Job title: Conference Manager
Pay Rate: $57,784/annual salary + incentives
Department: Conferences
Position Summary

As a member of the Conference Team, this person will be responsible for the planning, coordination, and flawless execution of corporate and social events. This role serves as the primary liaison between clients and hotel departments, ensuring all event details are executed to the highest service standards. The Conference Manager oversees logistics from initial planning through post-event follow-up while delivering exceptional guest experiences.

What you will be doing:
  • Serve as a primary point of contact for conferences, meetings & social events from event contracting through post-event follow-up.
  • Manage / Supervise all aspects of events, including the room setup, AV, décor placement, catering and guest service.
  • Work cohesively with the culinary, banquets, front office, and the operational team to deliver a seamless experience.
  • Drive revenue and exceed goals through upsells in banquets food & beverage to assigned groups.
  • Forecast food & beverage events for assigned groups.
  • Provide excellent customer service and manage customer expectations.
  • Build and maintain a strong relationship with clients, understanding their needs and working with them through execution of their event.
  • Maintain budgets, communicating to clients about estimated expenses.
  • Prepare and distribute event documents, such as Banquet Event Orders, Diagrams, Resume, and post-event reports.
  • Conduct pre-conference meetings and post-event meetings.
  • Lead Planning Site Visits.
  • Adheres to all hotel standards, policies, and procedures

Qualifications & Skills:
  • Experience: (3-5) Years previous experience in hotel conference services, catering, or event management is required.
  • Communication: Exceptional verbal and written communication skills for client interaction and internal briefings.
  • Organization: Strong project management skills, with the ability to manage multiple events simultaneously. Must be able to multi-task and prioritize to meet deadlines and distribution dates.
  • Education: A bachelor's degree in hospitality management, business, or a related field is preferred.
  • Technical Skills: Proficiency in event management software, such as Delphi FDC and SocialTables,

  • Valid U.S. Driver's License

Work Environment & Physical Demands:
  • Environment: Fast-paced and dynamic environment is professional and client-focused characterized by high-pressure periods during event execution and steady planning tasks in between.
  • Physicality: Involves standing/walking for long periods, with occasional lifting/moving of tables, chairs, and equipment up to 35 lbs.

Schedule & Hours:
  • Managers frequently work irregular hours, including early mornings, late nights, weekends, and holidays to accommodate event schedules. Working more than 40 hours per week is common during peak conference seasons.
