Job Title: Facility Manager                                                                           Reports to: Facility Operations Manager

Issue Date: August 18, 2026

Purpose of Job

The Facility Manager is Gulf Corp Services’ on-site leader for a condominium property, accountable for the physical condition, safety, and appearance of all common areas of the building. The Facility Manager Employed by Gulf Corp Services, the Association’s management company, and directs all technical repair and maintenance activity at the property. The Facility Manager leads a team of maintenance technicians and custodial staff, and coordinates third-party contractors for mechanical, electrical, and plumbing (MEP) systems, elevators, pools, amenities and all common equipment. The Facility Manager ensures preventive maintenance is executed, repairs are completed promptly and competently, and the property is maintained to the standard expected by the Association, its Board, owners, and guests.

Minimum Skills and Abilities Required

  • High School Diploma or GED.
  • Good knowledge of the structure and content of the English language, including the meaning and spelling of words, rules of composition, and grammar.
  • Strong general knowledge of Maintenance and Custodial, and Association Management related activities of a condominium building.
  • Professional manner, high energy level and exhibits a positive attitude.
  • Ability to manage multiple stakeholders.
  • Ability to handle a wide variety of situations and problems.
  • Knowledge and experience in administrative principles and their application.
  • Knowledge of policies and practices involved in personnel/human resource functions.
  • User-level computer skills including MS Word, MS Excel, and MS Outlook.
  • Ability to use a computerized maintenance management system (CMMS) for work orders and preventive maintenance tracking.
  • Ability to learn and use company software applications.
  • Leadership qualities, with excellent organizational and communication skills and documentation techniques.
  • Ability to interpret procedures and policies of the organization.
  • Ability to deal effectively and tactfully with people.
  • Provides information to the Facilities Operations Manager, Director of Facilities, Association Management, Supervisors, and subordinates. This information may be exchanged face-to-face, in writing, or via telephone/electronic transfer.

Essential Functions and Responsibilities

  • Responsible for upkeep, maintenance, cleanliness of all common areas of building(s). Areas of responsibility include irrigation, grounds, plumbing, electrical, exterior integrity, roof, pools, hot tubs, fitness equipment, elevators, lighting, climate control, boardwalks or piers, beach access, and all other building common equipment.
  • Responsible for ordering supplies, equipment, and parts as needed to maintain the cleanliness of the facility and all facility amenities.
  • Recommends and schedules preventive maintenance and custodial task sheets as necessary. Facilitates unscheduled maintenance and cleaning as needed.
  • May be assigned oversight of evening operations and after-hours Facilities operational needs, including coverage across multiple complexes.
  • Inspection of facilities daily. Inspect, identify, repair, clean, and/or upkeep needs and ensure work is completed in a competent manner.
  • Financially responsible to recommend appropriate budgets and works within the same.
  • Responsible for safety awareness as well as provisions of the Americans with Disabilities Act.
  • Responsible for written accident/incident communication to Management.
  • Coordinates special circumstances: hurricane/storm preparations and recovery, water event recovery, power outages, cold weather preparations, Christmas decorations, etc.
  • Serves as a representative of Brett/Robinson, displaying courtesy, tact, consideration, and discretion in all interactions with other employees of Brett/Robinson, owners, guests, and other members of the community.
  • Ensures compliance with Brett/Robinson policies. Coordinates communication of new and established policy.
  • Monitors employee performance to standards.
  • Analyzes and resolves day-to-day problems and recommends course of action to employees. Keeps all appropriate management aware and updated of status of issues.
  • Helps to coordinate training requirements for subordinates.
  • Coordinates work flow procedures and staff utilization.
  • Coordinates activities and communicates with other departments, and contacts external clients and vendors.
  • Assists in the flow of communications within the organization.
  • Reports safety hazards.
  • Attends departmental meetings.
  • Performs other duties as assigned.

  • Ability to work flexible hours, seven days per week as needed.
