Job description

Front Desk Representative – The Charter Club
About the Role

The Charter Club is seeking a professional, dependable, and customer-service-focused Front Desk Representative for our residential condominium community in Miami.
This is an active position that requires constant interaction with residents, guests, vendors, deliveries, and staff. Candidates should understand that the position involves significant standing, walking, package handling, and physical activity throughout the shift, in addition to traditional front desk responsibilities.
Key Responsibilities

  •  Greet and assist residents, owners, guests, vendors, and contractors in a professional and courteous manner.
  •  Answer telephone calls, emails, and resident inquiries and direct requests to the appropriate department.
  •  Verify and manage visitor and vendor access in accordance with Association procedures.
  •  Receive, log, organize, and distribute resident packages and deliveries.
  •  Regularly move and handle packages of various sizes and weights.
  •  Monitor the lobby/front desk area and immediately report unusual activity, emergencies, maintenance concerns, leaks, or safety issues.
  •  Assist residents with general building information, access questions, reservations, work-order requests, and other front desk services.
  •  Maintain accurate logs, incident reports, records, and shift documentation.
  •  Coordinate closely with Management, Maintenance, Security/Rover, and Housekeeping.
  •  Maintain a clean, organized, and professional front desk and lobby environment.
  •  Follow all Charter Club policies regarding confidentiality, resident information, Association systems, and professional conduct.
Physical Requirements

  •  Ability to lift, carry, push, or move packages weighing 50 pounds or more, using proper safety procedures and requesting assistance when appropriate.
  •  Ability to remain standing and/or walking for extended periods throughout the shift.
  •  Ability to frequently walk throughout the property when required.
  •  Ability to bend, reach, push, pull, and perform repetitive physical tasks associated with package handling and front desk operations.
  •  Ability to respond promptly to situations occurring throughout the property.
The Charter Club handbook specifically requires employees to obtain assistance when lifting or pushing heavy objects, so I would keep that safety language rather than suggesting employees should always move very heavy packages alone.
Qualifications

  •  Prior condominium, hotel, front desk, security, hospitality, or customer-service experience preferred.
  •  Excellent verbal and written communication skills.
  •  Professional appearance and demeanor.
  •  Strong computer and data-entry skills.
  •  Ability to multitask and remain organized in a fast-paced residential environment.
  •  Reliable, punctual, and able to work effectively as part of a team.
  • Bilingual English/Spanish preferred.
  •  Strong attention to detail and ability to follow established procedures.
  •  Must maintain confidentiality and exercise good judgment when dealing with residents and sensitive information.
What We’re Looking For

We are looking for someone who is proactive, professional, physically capable of performing the position, and genuinely service-oriented. The ideal candidate understands that the Front Desk is a critical part of the property's daily operations and is willing to assist wherever reasonably needed to provide excellent service to the Charter Club community.
