Position Summary

The Receptionist serves as the first point of contact for visitors, customers, vendors, and employees. This position is responsible for creating a professional and welcoming environment while providing administrative support to ensure efficient office operations. The Receptionist manages incoming calls, greets visitors, maintains records, and assists with various clerical and administrative tasks.


Essential Duties and Responsibilities

  • Greet and assist visitors, customers, vendors, and employees in a professional and courteous manner.
  • Answer, screen, and direct incoming phone calls.
  • Operate the company's telephone and intercom systems to announce visitors, page employees, and communicate facility-wide messages.
  • Manage the reception area to ensure a clean, organized, and professional appearance.
  • Receive, sort, and distribute incoming mail and packages.
  • Prepare outgoing mail and coordinate shipping activities.
  • Maintain visitor logs and issue visitor badges in accordance with company procedures.
  • Assist with scheduling meetings, conference rooms, and appointments.
  • Perform data entry and maintain accurate records and filing systems.
  • Assist with preparing reports, correspondence, and other documents.
  • Order and maintain office supplies and inventory.
  • Support Human Resources and other departments with administrative projects as needed.
  • Maintain confidentiality of sensitive company and employee information.
  • Perform other duties as assigned.


Education and Experience

  • High school diploma or equivalent required.
  • Associate degree preferred.
  • Minimum of 1-2 years of receptionist, customer service, or administrative experience preferred.

Work Environment

  • Office environment with frequent interaction with employees, visitors, customers, and vendors.
  • Regular use of standard office equipment including computers, telephones, copiers, and scanners.
