PositionOverview:

Weare seeking a detail-oriented and tech-savvy student to support the developmentof a comprehensive data organization framework to be used across theorganization. This role will focus on creating standardized namingconventions for electronic files, designing efficient digital filingstructures, and building streamlined workflows that enhance data quality,accessibility, and operational efficiency. 

Theposition is ideal for a candidate interested in information management,business processes, digital organization, or administrative technologies. 

 

 

KeyResponsibilities:

        Create clear,user-friendly naming systems for documents, folders, and digital assets acrossmultiple platforms. 

        Analyzecurrent storage practices and implement improved folder hierarchies and fileorganization strategies for easy navigation and long-term sustainability. 

        Identifyinconsistencies, duplicates, and barriers to access. Recommend and implementsolutions to ensure files are accurate, current, and easy to locate. 

        Developsimple, repeatable workflows that support efficient file creation, storage,sharing, and retention. 

        Produce userguides and documentation that support staff training and long-term adoption ofnew standards. 

        Work withstaff from various departments to understand needs, gather requirements, andensure the new systems are intuitive and practical. 

        Test newworkflows and structures to confirm functionality and ease of use beforerollout. 

Qualifications 

        Currentstudent in a program related to Information Management, BusinessAdministration, Data Management, Computer Science, or a similar field. 

        Strongattention to detail and excellent organizational skills. 

        Ability toanalyze existing systems and identify opportunities for improvement. 

        Comfortable withdigital tools such as Microsoft 365, SharePoint, Google Workspace, or othercloud-based file systems. 

        Strongcommunication skills, including the ability to explain technical processes insimple terms. 

        Ability towork independently, manage timelines, and balance multiple tasks. 

        Experiencewith workflow mapping, metadata practices, or document management is an asset. 

Education Requirement:

  • Post-secondary education in progress or recently completed  preferred
