Job description

Description:

The Assistant Project Manager supports the planning, coordination, and execution of construction projects by assisting with project documentation, scheduling, and communication among stakeholders. This role helps ensure projects are completed on time, within budget, and in compliance with company standards and client requirements.


Essential Functions & Accountabilities:

• Assist in the supervision and coordination of assigned project activities, including planning workflows, implementing procedures, resolving issues, and ensuring compliance with all company and project policies, standards, and requirements

• Manage the Request for Information (RFI) and submittal processes; track outstanding items and provide regular (weekly) status updates to the project team, including follow-up with subcontractors for missing information.

• Support project financial functions, including purchasing, cost tracking, cost coding, and invoice review/approval, based on project size and scope; ensure all project invoices are properly cost-coded.

• Develop and maintain the project submittal schedule, including tracking submittal status and material delivery timelines; coordinate with subcontractors to confirm and update schedules.

• Maintain and update project documentation, including posting drawings, updating project management systems, preparing as-built drawings, and distributing revisions to all relevant stakeholders.

• Assist in updating and monitoring construction schedules.

• Monitor contract and insurance compliance logs to ensure all subcontractors have executed contracts, valid insurance coverage, and required safety documentation prior to site access.

• Attend project meetings, prepare detailed meeting minutes, and distribute them in a timely manner.

• Represent the company in meetings with clients, subcontractors, and union representatives, as required.

• Conduct regular site visits to document progress, capture photos, and provide on-site support as needed.

• Assist in the development and tracking of project deficiency logs and punch lists; verify completion of items and provide status updates.

• Coordinate with administrative staff to collect and compile project closeout documentation, including warranties and operations & maintenance manuals, and assist in preparing closeout packages.

• Support monthly project review preparations, including reporting and documentation.

• Support updates to the master project schedule and related reporting on a monthly basis.

• Provide regular (including weekly) updates to the project team on outstanding tasks and action items.

• Maintain availability and responsiveness outside of standard working hours in the event of project-related emergencies.

• Complete special projects and all other duties as assigned.


Knowledge, Skills and Abilities:

• Exhibit proven experience managing multiple projects simultaneously while maintaining schedule and budget performance.

• Excellent verbal and written communication skills.

• Ability to collaborate with contractors, clients, consultants, and internal teams.

• Advanced knowledge of construction documents, blueprints, and specifications, as well as a comprehensive understanding of applicable local building codes and regulatory requirements.

• Strong attention to detail, with the ability to ensure compliance with project specifications, safety protocols, and quality standards.

• Ability to adapt to changing project conditions, priorities, and unforeseen challenges in a fast-paced environment.

Work Environment:

• Frequently required to sit, stand, walk and climb stairs.

• Must be able to sit for prolonged periods.

• General office environment requiring frequent interaction with employees in a construction environment with exposure to noisy conditions.

• Prolonged use of a computer, display screens and mobile phone.

• Frequently required to lift and/or move up to 10 pounds and occasionally lift and/or move up to 100 pounds.

• Adequate vision for reading plans, inspecting work, and ensuring safety compliance.

• Adequate hearing to recognize warnings and communicate effectively in noisy environments.

• Flexibility to bend, kneel, or reach to perform various tasks and inspect different site areas.


Education and Experience:

• High school diploma or GED required; associate or bachelor’s degree preferred.

• 3-5 years of experience in construction or a related field preferred, or an equivalent combination of education and experience.

• Proficiency with Procore preferred.

• Experience in wood frame multi-family projects preferred.

• OSHA 10 certification preferred.
