Job description

Provide administrative team support to the Corporate Recruitment and Talent Acquisition function. This position will perform transactional, administrative and compliance tasks related to talent acquisition and new hire onboarding.

This position will be an in-office role requiring no more than 20 hours per week, with flexible working hours between our normal business hours of Monday-Friday, 8am to 5pm.


  • Maintain and audit pre-employment files; track outstanding documentation (background checks, drug screens, etc.) and proactively follow up with candidates and TAM to ensure timely completion.
  • Assist in the coordination of onboarding logistics for new hires, including scheduling start dates, orientation sessions, equipment pickup, and network access; communicate onboarding details to branches and hiring teams.
  • Assist with candidate screening setup and interview scheduling.
  • Assist in maintaining and updating the New Hire spreadsheet, dashboards, and ATS records to reflect accurate hiring status, start dates, and new hire checklist item status.
  • Assist in preparation for Career Fair and other recruitment events (i.e., packing and shipping of materials, keeping track of inventory needs, and registration for events).
  • Ensure strict confidentiality of candidate and employee information and comply with all applicable employment laws, company policies, and data privacy standards.
  • Participate in continuous improvement efforts for recruitment and onboarding processes; suggest and help implement process efficiencies and system enhancements.
  • Assist with other duties and projects as assigned by HR Manager, Talent Acquisition Manager, or senior management.

  • Currently enrolled in a Bachelor’s Degree Program in Business Management or Administration, with a concentration in HRM or a related program is preferred.
  • General human resources, internship, or administrative assistant experience preferred.
  • Strong organizational and multi-tasking skills required.
  • Strong oral and written communication skills required.
  • Computer proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to work under pressure and time constraints in a fast-paced environment.
  • Strong interpersonal skills.
