Job description

Human Resources Administrative Assistant

Westerman, Inc., an employee owned company, is a multiple site manufacturer of production and storage equipment within the oil, gas, and nuclear industries. Our equipment helps optimize well pad design, improve separation efficiency and lower overall equipment spend through high-performance surface separation and processing technology. Our equipment is setting new standards for performance and economics nationwide.

This position will be located in Casper, WY at our JW Williams facility (a company of Westerman, Inc.).

Under close supervision from the Vice President, Human Resources, performs assigned responsibilities of the Human Resources department with special emphasis on recruiting, staffing, onboarding, and HR reporting functions. Also supports the overall operations of the Casper facility as needed.

Responsibilities include:

  • Finding and attracting qualified applicants for open positions using efficient and effective recruiting methods and strategies; placing advertisements; matching skills with position requirements; conducting pre-screen phone calls; and scheduling interviews.
  • Identifying and coordinating recruiting opportunities, including career fairs, hiring events, and relevant networking opportunities.
  • Developing and maintaining relationships with Workforce Services, staffing agencies, trade and technical schools, and contract labor providers.
  • Traveling as needed to support recruiting efforts at career fairs, welding competitions, trade schools, and similar.
  • If applicable, coordinating with staffing agencies to interview and place candidates. Works with hiring manager to establish skillset, timing, pay range, and interviewing needs. Maintains report(s) of temporary employees.
  • If applicable, maintains timeclock and timecards for agency employees and provides weekly record of time to agencies on a timely basis. Works with agencies to resolve pay issues.
  • Creating new employee files (personnel, benefits, medical) upon hire and files appropriate documentation timely.
  • Updating HR spreadsheets to ensure accuracy and timeliness of data.
  • Assisting with the development and distribution of recruiting and marketing materials used to attract qualified candidates.
  • Ensuring job descriptions are detailed, accurate, and updated as needed.
  • Ensuring copying, filing, scanning, and mailouts for the Human Resource department is completed in a timely manner.
  • Assisting with facility events as needed.
  • Performing other related duties as required and assigned.

Qualifications include:

  • High school diploma or GED required.
  • Minimum of 1 year recent recruiting experience, either in-house or with a staffing agency required. Must have first-hand experience with various sourcing strategies.
  • Previous HR experience including recruitment, benefits, employee relations, training, and/or compensation required. Experience in a manufacturing environment strongly preferred.
  • Excellent attendance record required.
  • Demonstrated ability to meet or exceed expectations in a fast-paced office environment required.
  • Demonstrated ability to handle multiple functions and maintain strong organizational skills required.
  • Strong initiative, self-awareness and demonstrated ability to be self-sufficient required.
  • Extreme attention to detail and analytical skills required.
  • Professional verbal and written communication skills and active listening skills required.
  • Demonstrated ability to maintain the strictest confidentiality required.
  • The ability to work individually and as part of a team is required. Demonstrated ability to develop professional relationships at all levels required.
  • Strong Word, Excel, and PowerPoint skills required. Previous experience with HRIS and applicant tracking system strongly preferred.
  • Ability to make formal presentations preferred.
  • Driving is an essential function of the job; clean driving record required.

Physical demands include:

  • Must be able to sit at a desk for extended periods of time and work on a computer.
  • Regularly required to stand, sit, reach, stoop, kneel, crouch, climb, or bend.
  • Regularly required to see, speak, hear, and read.
  • In an office environment, some light physical effort required with lifting up to 15 pounds.
  • Must use fingers and hands to manipulate/utilize office machines.
  • Must be able to walk over both even and uneven surfaces.
  • Must be able to drive and travel by car as needed
  • Some aspects of this position may require close vision, depth perception, the ability to see small detail, and the ability to adjust focus.
