Evergreen School District Position Description

ADMINISTRATIVE ASSISTANT TO THE SUPERINTENDENT

Evergreen School District seeks an Administrative Assistant to the Superintendent to join one of the leading K-8 school districts in the state of Montana.  Evergreen's mission is to enable students to become responsible citizens and lifelong learners by ensuring quality instruction in a nurturing environment.  The Administrative Assistant to the Superintendent assists and supports the Superintendent with a variety of duties.  This position reports directly to the Superintendent.

Preferred Minimum Qualifications:

  • High school diploma, minimum two years business training or business college preferred
  • Minimum two years experience in office work preferred
  • Current knowledge of modern office practices and procedures
  • Working knowledge of all office equipment including fax, voice-mail, copy machine, computer, and software applications
  • Working knowledge of Google Suite and the Internet
  • Types 40-50 words-per-minute
  • Working knowledge of business English (including spelling, grammar, and punctuation)

Job Responsibilities:

  • Serve as secretary to the Superintendent
  • Implement and monitor process for filling personnel vacancies, including background checks on potential employees
  • Produce Board Meeting packets in an efficient and timely fashion
  • Assist in the production of the quarterly Trustee postcard
  • Maintain staff directories, employee lists, and telephone lists; assist in preparation of annual school calendar
  • Update District manuals and handbooks as per direction in a timely and efficient manner
  • Perform clerical, typing, computer work
  • Sort, distribute, mail, and file correspondence, records, and materials
  • Answer telephones, take messages, and relay information
  • Compose, file, and disseminate information and announcements
  • Prepare monthly enrollment reports
  • Maintain appointment schedule
  • Order select District supplies
  • Assist in meeting preparation including planning for refreshments and catering as directed
  • Arrange lodging accommodations as directed
  • Assist Business Office as needed

  • Ability to work with the public and display positive public relations skills
  • Ability to effectively participate in general office duties
  • Ability to operate office machines and have good computer skills
  • Ability to use good written and oral communication skills

  • Ability to organize information and pay attention to detail
  • Understanding of bookkeeping and have accuracy with numbers

Physical Demands:

  • Works inside a District building in a controlled, well-lit environment
  • Requires prolonged sitting; substantial amount of time working at a computer station
  • Occasional lifting of 50 pounds or less

Evaluation:

  • Performance to be evaluated annually by the Superintendent

Terms of Employment:

  • Hourly, 261 day contract year, Remuneration contingent upon preparation and experience
  • Health insurance, leave, and retirement provided
  • Work schedule/hours can be modified as determined by supervisor
