Job Duties

To analyze incoming correspondence to determine proper routing within the Department, scan and enter required information into the correspondence tracking system and ensure that responses are provided by the due date; research and respond to correspondence (postal, email or telephone). Appropriately acknowledge and respond to correspondence forwarded by elected officials, medical, and basic time comp related correspondence as assigned. Contact appropriate departments, facilities, and other agencies, as necessary, to provide a response. Responsible for prioritizing workload to ensure timeframes for responding to correspondence are met. All hours worked and leave reports must be completed accurately and on time.

Minimum Qualifications

Ability to work independently to analyze and resolve problems with general guidance from supervisor. Demonstrated ability to comprehend and interpret complex laws, legal documents, and policies. Ability to adapt to changes in procedures, policies, and systems quickly and the ability to juggle competing demands and priorities daily. Knowledge of VADOC operational practices, policies, and procedures. Skilled in developing and maintaining effective working relationships with all VADOC departments.

Additional Considerations

Considerable knowledge of the Department's operational practices, policies, and procedures. Skilled in developing and maintaining effective working relationships with all DOC departments. Demonstrated knowledge of the Code of Virginia as it pertains to criminal sentencing. Demonstrated ability to craft comprehensive and complex written communications and the ability to communicate effectively and professionally both orally and in writing. Proficient in Windows Office Suite.
