POSITION SUMMARY
The Project Administrator provides office coordination and documentation support to ensure the efficient delivery of FB Timberline construction projects across the region. Working closely with coordinators, field supervision, and internal teams, this role maintains accuracy, organization, and compliance across project records, including onboarding, subcontractor documentation, payroll reporting.
The Project Administrator serves as an administrative resource supporting both field and office teams by ensuring safety records, payroll and quality documentation requirements are maintained to company standards. This position requires strong attention to detail, excellent organizational skills, and the ability to work in a fast-paced environment.
CORE RESPONSIBILITIES
Project Documentation & Administration
  • Maintain organized office space, correspondence, and documentation in accordance with company requirements.
  • Track and maintain training, safety, quality, and inspection documentation.
  • Maintain confidentiality and data integrity across project systems and document management platforms (Viewpoint, Complyworks, SharePoint).
  • Support onboarding and credential verification for project personnel and subcontractors.
  • Coordinate with payroll to review and finalize daily timesheets.

Compliance & Record Management
  • Point of contact with field supervisors and internal departments to support timely communication and information flow for payroll.
  • Identify opportunities to improve administrative processes and project support activities.
  • Provide general administrative support to ensure project requirements are met.

Project Support & Communication
  • Assist Project Managers and Coordinators with meeting scheduling, meeting minutes, action tracking, and follow-up items.
  • Liaise with field teams and internal departments to support timely communication and information flow.
  • Provide general administrative support to ensure project requirements are met.

Collaboration & Continuous Improvement
  • Work safely and contribute to safety improvement initiatives.
  • Identify opportunities to improve administrative processes and project support activities.

ESSENTIAL REQUIREMENTSEDUCATION & EXPERIENCE
  • Diploma in Business Administration, Construction Administration, or a related field is preferred.
  • Administrative experience, preferably within construction, utilities, industrial, or EPC environments.
  • Experience supporting project teams and managing construction documentation is considered an asset.

SKILLS & ABILITIES
  • Proficient in Microsoft Office Suite, Adobe Acrobat, and project platforms (Viewpoint, Complyworks, SharePoint).
  • Strong organizational skills, attention to detail and ability to manage multiple priorities.
  • Ability to maintain accurate records and handle confidential information.
  • Understanding construction workflows, project documentation, and administrative processes.
  • Strong verbal and written communication skills.
  • Ability to work independently and collaboratively within a team environment.
  • Valid driver's license required.

ADDITIONAL DETAILS
  • Hours of work (Monday to Friday, 8:00 AM - 4:30 PM).
  • Successfully complete pre-employment drug and alcohol testing.
  • Complete required safety training and certifications based on project needs.
  • Travel to project sites if required
