Job description

Description:

We are seeking a diligent and detail-oriented Property Services Agent to join our team. The ideal candidate will be responsible for conducting property inspections, managing inventory, ensuring quality control, and performing light maintenance work to keep our rentals in top condition. This role requires timely task completion, strong communication, and coordination with vendors, contractors, and internal departments.


Key Responsibilities:
Property Inspections:
  • Conduct regular and thorough inspections to assess cleanliness, maintenance needs, safety concerns, and overall property condition.
  • Serve as the "eyes on the ground" for each unit, reporting issues promptly and thoroughly.
  • Verify readiness for guest arrivals and departures.
Inventory and Quality Control:
  • Perform inventory checks to ensure linens, supplies, and guest essentials are adequately stocked.
  • Conduct quality control audits to maintain high standards of cleanliness and upkeep.
  • Maintain accurate records using the Breezeway system.
Light Maintenance & Upkeep:
  • Perform basic repairs and maintenance tasks (e.g., replacing light bulbs, tightening hardware, unclogging drains, touch-up painting, resetting breakers).
  • Troubleshoot minor issues before they escalate or require external vendors.
  • Ensure properties remain in guest-ready condition through proactive upkeep.
Timely Task Completion:
  • Complete assigned tasks efficiently and accurately.
  • Document completed and pending work thoroughly within the Breezeway system.
Administrative and Operational Duties:
  • Maintain detailed documentation and submit timely reports on inspections, maintenance needs, and supply levels.
  • Update the Breezeway system with accurate notes, photos, and statuses.
Vendor Coordination:
  • Work with existing vendors (e.g., pool service, pest control, landscaping, cable/TV) to ensure timely service.
  • Support the Operations and Service Administrator (OSA) in coordinating project deliveries, upgrades, and vendor visits.
Vendor and Contractor Oversight:
  • Monitor vendor performance and help onboard new service providers.
  • Ensure all vendors meet company standards for quality and professionalism.
Maintenance Team Collaboration:
  • Work closely with the Maintenance team to report issues, follow up on repairs, and confirm completion.
  • Coordinate with housekeeping on deep cleans, resets, and turnovers.
Qualifications:
  • Previous experience in property management, hospitality, or facilities inspection.
  • Ability to perform basic maintenance and handyman tasks safely and efficiently.
  • Strong attention to detail and organizational skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in using property management tools, especially Breezeway or similar platforms.
  • Self-motivated and comfortable working independently or as part of a team.
