We are looking for an Associate Relationship Manager (ARM) to join our team. You will be responsible for providing day to day administrative support to the Relationship Managers (RM) by assisting with client requests. Responsibilities could include but are not limited to communicating with corporate clients and their counsel in connection with shareholder mailings, shareholder meetings, dividends, treasuries, capital reconciliations, billing, audit confirmations and monthly reporting.

Lastly, an Associate Relationship Manager is extremely organized, is proactive in every manner and has curiosity to go learn about all things in relation to the transfer agency world! If you are a new graduate or someone who is looking for their first career role, this may be the role for you!  

Other duties will include:

  • Work independently, and in partnership with the Relationship Manager to ensure accurate and responsive delivery of client services to related to shareholder meetings, share issuances, reporting and shareholders.
  • Work closely with clients, and internal resources on intervention and escalated items to ensure prompt resolution.
  • Perform support activities for shareholder meetings from coordination of proxy activities, including ordering lists, labels and journals, to attending shareholder meetings as scrutineer/co-scrutineer.
  • Review documents submitted by shareholders, participants and Financial Institutions to ensure they are compliant and complete.
  • Assist issuers with special projects, expediting transfers, troubleshooting, problem solving and servicing of all issuer's shareholder's accounts.
  • Manage and maintain client accounts, including receiving paperwork for reinvestments, withdrawals, transfers, sales and estates and routing processing to appropriate areas.
  • Maintain relationships with key personnel of clients ensuring satisfaction and retention.
  • Create and reconcile reports on regular and ad-hoc basis.
  • Provide support as needed within the Client Services team

What will you bring to the role

  • 2 years administrative experience (Legal, Financial or Securities industry preferred).
  • Client-facing experience with businesses, executives and/or legal counsel.
  • Post-secondary diploma or degree.
  • Intermediate working knowledge of MS Office suite.
  • Ability to multi-task to complete tasks within deadlines.
  • Ability to prioritize when encountering conflicting duties.
  • Accuracy and attention to detail.
  • Strong mathematical and organizational skills.
  • Excellent written and verbal English skills.
