POSITION OVERVIEW:
United Way of Massachusetts Bay is seeking a temporary Program Assistant who can provide coordination and administrative support for several programs in our Community Impact division. The position primarily supports our Board Connection initiative while also helping program leaders in Scaling Safe and Stable Housing, Building Economic Mobility, and Centering Youth and Young Adult Success.
The ideal candidate will be interested in supporting nonprofit partnerships and community engagement. They will use their skills of effective communication, organization, and project management to support the organization's leadership across departments to achieve project goals. The ideal candidate will be a detail- oriented, systems thinker with the ability to build trust internally and manage projects effectively.
KEY RESPONSIBILITIES:
1. Project Management
The Program Assistant will be part of the Community Impact team and will support the planning, coordination, and execution of strategic initiatives including Board Connection, Marian L. Heard Scholars Program, Housing, and Economic Inclusion Ecosystem. Working across departments and with external partners, the Program Assistant will help ensure projects are aligned with organizational goals, implemented effectively, and delivered on schedule.
The Board Connection is a signature United Way Mass Bay initiative that promotes and strengthens Nonprofit Board of Director service. The program assistant will assist with the virtual Fall training series that prepares individuals interested in nonprofit board service to sit on a board and provides necessary operation and technical execution. This role focuses heavily on database and portal administration, live technical support for program training sessions and overall operations.
2. Board Connection
Data & Report Administration
  • Report Coordination: Gather and calculate program data required for final reporting and calculate accurate outcome metrics for corporate sponsors.
  • Program Offboarding: Track attendance, create and issue certificates of completion for program participants.

System Administration & Participant Operations
  • Registration Systems: Assist with the registration process and follow-up communications including session calendar reminders.
  • Portal Management: Update course materials and assist participants with profiles.

Live Session Technical Operations
  • Zoom Facilitation: Manage the technical back end (breakout rooms, logistics) during live training sessions.
  • Troubleshooting: Act as the primary technical point of contact to troubleshoot issues during live Zoom sessions.
  • Post-Session Workflow: Coordinate the post-session delivery of recordings and slides, upload video assets to the portal, and send survey reminders.

3. Additional responsibilities for Community Impact Initiatives:
  • Schedule and coordinate internal and external meetings including: plan and prepare agendas and meeting materials, track attendance, and conduct follow-up.
  • Serve as a notetaker during meetings. Create and share note summaries.
  • Assist with student participant communication regarding resources and program fulfillment.
  • Facilitate BaseCamp communications and follow up. Basecamp is a web-based project management and team collaboration software

REQUIREMENTS:
The Program Assistant will inspire the trust and confidence of internal staff and external community partners and individuals. Success will require the ability to collaborate and synthesize diverse skills and perspectives without losing focus on our collective goals.
  • 2+ year(s) experience working in a related Human Services field
  • Strong organizational skills and attention to detail and accuracy
  • Experience in virtual and in person facilitation including technical proficiency
  • Advanced familiarity with Zoom meeting management (breakouts, polls, live troubleshooting, back-end logistics).
  • Experience and ease in learning and managing online course administration and team collaboration software.
  • Strong project management skills with the ability to take initiative, meet deadlines independently, and manage multiple projects
  • Ability to communicate and present ideas with clarity
  • Experience in data management. Strong skills in data collection, basic calculations, and tracking spreadsheets for reporting purposes. Hands-on proficiency with database systems (experience with Andar is a plus).
  • Utilizes a lens of equity, diversity, inclusion, and promotion of multi-cultural awareness in the development of strategies and visioning

  • Willingness to work a flexible schedule, some evenings and weekends, and travel throughout United Way's region.
  • Ability to work a hybrid work schedule, experience working remotely

SCHEDULE/HOURS
This is a temporary, part-time role (up to 20 hours per week) from August-November 2026. Must be available on Tuesday mornings from September 29th - October 27th from 8:30 - 12 noon. This position is not benefits eligible.
