Job description

The fund development coordinator is responsible for administrative support for fund development operations and volunteer engagement. This role supports programs across the 8-county service area to raise philanthropic support and community awareness. The fund development coordinator manages the customer relationship management (CRM) database for the department and must be highly organized. This is an internal and external facing role. The coordinator position works hand-in-hand with the Sr. Director, Fund Development.

Responsibilities:

Fund Development 

  • Support Fund Development team with the administration and documentation of foundation, corporate, government grant, and community partnership activities.
  • Manage relationship database and maintain accurate information, generate regular reports, and assist team in tracking goals and moves management.
  • Oversee gift processing to ensure donations (specifically: foundation, corporate, government grant, event, and community partner contributions) are accurately  recorded on an ongoing basis in the donor database and appropriate donor stewardship is implemented.
  • Generate timely and accurate gift acknowledgment letters and tax receipts.
  • Administers the Grant Intake Process.
  • Maintains electronic file of common grant attachments.
  • Collaborate with various departments to facilitate the smooth execution of grant agreements and compliance with grant requirements and regulations.
  • Support foundation and corporate donor cultivation by researching and preparing donor profiles for upcoming meetings.

Volunteer Engagement

  • Support the planning and execution of volunteer program.
  • Oversee the volunteer management system to publicly promote volunteer opportunities and help ensure volunteers have a rewarding and meaningful experience.
  • Ensure proper documentation, data tracking, and reporting related to volunteer hours, demographics, and impact stories.
  • Leverage volunteer management system automation tools to send newsletters, shift reminders, and urgent updates to the volunteer base.
  • Assist in the coordination of volunteer events, group volunteer activities, and volunteer recognition projects to promote engagement.
  • Present at volunteer opportunities and events.

Community & Event Support

  • Support the planning and execution of signature fundraising and awareness events by contributing to overall event logistics.
  • Partner with Sr. Director of Fund Development to coordinate volunteer components for community outreach and donor engagement events.
  • Assist in building relationships with community organizations, civic groups, schools, and parishes to expand volunteer and supporter networks.

 Working Conditions and Physical Demands:

  • Full-time, in-person position.

Job Qualifications

  • Bachelor's degree preferred; relevant experience in nonprofit fundraising, volunteer coordination, or administrative support will be considered.
  • Minimum of 1-3 years of experience in a development, event planning, or volunteer-focused role.
  • Exceptional organization, multitasking, and follow-through skills.
  • Strong written and verbal communication abilities.
  • Must be able to work independently and to prioritize multiple projects on a timely basis.
  • Must have proficient knowledge of computers and Microsoft Office software.
  • Must have valid Ohio Driver's License and reliable means of transportation for local travel.
  • Final applicant is required to be fingerprinted to complete background check.
