JOB SUMMARY: The Administrative specialist will be part of RurAL CAP's Elder Mentor and Senior Companion programs. This position will support these statewide programs which provide volunteer opportunities for people 55 and older to give back to their community either through mentoring youth or assisting other elders in the community. Duties will include processing volunteer applications, timesheets, and program surveys; organizing volunteer travel for training; calling potential volunteers and informing about the program; and supporting the team with other administrative needs.
DUTIES & RESPONSIBILITIES
- Provides core logistical coordination for the onboarding and tracking of volunteers
- Works with program coordinators to input data into our volunteer database
- Calls interested volunteers and follows up with sending out application packets
- Provides logistical services for Elder Mentor and Senior Companion programs and training events including arranging air travel, lodging, meals and refreshments, ground transportation, supplies, materials, and site facilities.
- Designs, produces, and coordinates printing of outreach and educational materials to be used programs.
- Assists with maintenance of program websites, social media and newsletter publications including researching and compiling funding opportunities, special announcements, calendar events, collecting and posting photographs and volunteer success stories.
- Is responsible for purchasing supplies which includes understanding and tracking supply budgets, soliciting bids from vendors, tracking costs, coordinating shipping, and completing supply and inventory reports.
- Provides technical support in areas such as program evaluation, promotion, information gathering, and information dissemination.
OTHER RESPONSIBILITIES:
Performs other job-related duties as assigned by the immediate supervisor to support RurAL CAP projects or programs.
JOB CONDITIONS:
- General office environment, smoke-free building, shared office space.
- Heavy daily use of computer and phone.
- Must be able to work long hours during occasional peak periods.
- Able to endure work fluctuations, deadlines, and interruptions.
- Occasional travel to rural Alaska and the lower 48 states.
- Position requires extensive networking, teamwork with other employees, and an ability to share information and speak in open forums in front of groups.
EMPLOYMENT REQUIREMENTS:
- Proven ability and willingness to be self-directed in problem-solving and decision-making while also working effectively as a team member.
- Agency recommends annual TB screening and physical as part of employee's personal wellness plan (Recommendation - Not a requirement of this position)
REQUIRED QUALIFICATIONS:
- B.A; or equivalent 4 years experience in project coordination, community development, or a similar professional field.
- Excellent written and verbal communication skills, including proofreading and editing. An attentive listener, articulate speaker and clear and persuasive writer that understands the needs of various audiences.
- Experience providing over the phone support
- Strong design and layout skills; ability to produce newsletters, brochures and general informational items.
- Effective oral communication and interpersonal skills.
- Well-organized and efficient; able to produce measurable results with minimal supervision.
- Ability to prioritize projects and assignments; solve problems independently; and maintain a positive attitude and produce professional results under deadlines.
PREFERRED QUALIFICATIONS:
- Knowledge and familiarity with Alaska and the rural Alaskan way of life.
- Creative self-starter who can work independently and with diverse teams.
- Experience in data management systems
