Job description

Job Title: Ministry Assistant                                                      Reports to: Executive Director of Ministries


FLSA Classification: Non-Exempt, Hourly                             Date Drafted : August 2026

 

Status: Full Time 40 hours per week, Flexible schedule with up to two remote workdays per week

Position Collaborates with: Church staff, committees, and councils in the performance of job duties.


Position Summary

The Ministry Assistant provides high-level administrative, organizational, and ministry support to the Executive Director of Ministries and Pastor of Adult Discipleship, with responsibility for ministry planning and coordination, Adult Discipleship, and lay leadership development. The ideal candidate is highly organized, proactive, dependable, and able to manage multiple priorities while anticipating needs, keeping projects and ministry processes moving, and providing the strong follow-through that allows ministry leaders to focus on leadership, strategy, teaching, shepherding, and decision-making.

Position Responsibilities - Essential

 

EXECUTIVE DIRECTOR OF MINISTRIES SUPPORT

Provide administrative and organizational support to the Executive Director of Ministries, ensuring ministry plans, meetings, communication, and key initiatives are coordinated effectively.

  • Provide day-to-day administrative support for the Executive Director of Ministries.
  • Maintain calendars, schedules, planning documents, and ministry resources related to Executive Director priorities.
  • Assist in coordinating Staff Retreat, Planning Week, seasonal planning processes, staff meetings, and other annual ministry initiatives.
  • Prepare agendas, meeting materials, presentations, and supporting documents as needed.
  • Record meeting notes, distribute action items, and assist in tracking follow-up responsibilities and deadlines.
  • Maintain organized digital files, project documents, ministry records, and shared resources.
  • Assist with communication, scheduling, registrations, and administrative details related to the Discipleship Pathway, leadership development efforts, and volunteer initiatives.
  • Support ministry-related aspects of churchwide initiatives involving the Executive Director of Ministries, including stewardship campaigns, capital projects, and other strategic initiatives.
  • Utilize Realm, eSpace, and other ministry systems for reporting, record management, and ministry administration.
  • Other duties as assigned.

  

ADULT DISCIPLESHIP SUPPORT

Ministry Administration & Logistics

ยท        Manage administrative logistics for ministry events, classes, and groups, including registration, room reservations, and room setup requests.

ยท        Utilize and maintain ministry systems, including Realm and eSpace, to support ministry programs and communication.

ยท        Update shared ministry calendars with events and proactively track and communicate upcoming deadlines, needs, and action items to the Pastor of Adult Discipleship.

  • Take ownership of assigned administrative processes, ensuring details are followed through to completion and reducing the need for pastoral staff to manage administrative follow-up.

Communication & Coordination

  • Coordinate with the Director of Communications on publicity, website updates, and communication needs for ministry initiatives.
  • Serve as the primary administrative point of contact for ministry leaders, committees, and volunteers, facilitating clear and timely communication regarding events, deadlines, resources, publicity, and ministry initiatives.
  • Provide administrative and systems support to leaders and volunteers, including assistance with Realm, eSpace, publicity requests, and other ministry-related questions and needs.

Resources & Meeting Support

  • Coordinate the acquisition of supplies, resources, and curriculum needed for ministry programs.
  • Prepare materials for meetings and ministry gatherings, including agendas, handouts, reports, and other resources.

Data, Reporting & Ministry Evaluation

  • Oversee the collection and tracking of attendance information for ministry groups, classes, and events.
  • Maintain accurate ministry records and ensure information is entered and organized appropriately within ministry systems.
  • Regularly prepare data-driven reports for the Pastor of Adult Discipleship that communicate the health, participation, growth, and scope of the ministry areas.

ESSENTIAL SKILLS & EXPERIENCE

ยท        Exceptional administrative, organizational, and follow-through skills.

ยท        Highly proficient in Outlook, Microsoft 365, AI-assisted productivity tools, shared calendars, document organization, and project tracking.

ยท        Experience with Realm, Canva, and Constant Contact preferred.

ยท        Strong written communication skills with the ability to draft, edit, summarize, and organize information clearly.

ยท        Detail-oriented with the ability to anticipate needs and identify gaps before they become problems.

ยท        Able to manage multiple meetings, projects, registrations, materials, deadlines, and follow-up items simultaneously.

ยท        Comfortable taking meeting notes, tracking action items, preparing materials, and following through on next steps.

ยท        Comfortable working with pastors, directors, staff, lay leaders, committees, and volunteers.

ยท        Strong judgment and discretion with confidential staff, pastoral, ministry, and congregational information.

ยท        Self-motivated and able to work independently while supporting multiple leaders.

ยท        Calm, flexible, relational, and solution-oriented in a fast-paced ministry environment.

REPORTING & WORKING RELATIONSHIPS

The Ministry Assistant reports directly to the Executive Director of Ministries and works closely with the Pastor of Adult Discipleship. The Pastor of Adult Discipleship may assign and direct routine Adult Discipleship work. The Executive Director of Ministries resolves competing priorities, provides overall supervision, and conducts the annual performance review with formal input from the Pastor of Adult Discipleship.
