Job description

GrayRobinson, a full-service law and government consulting firm with 16 offices in Florida and Washington, D.C., has an immediate opening for an Events Coordinator based in our Orlando, Tampa, or Tallahassee office. The successful candidate will have a bachelor's degree in marketing, communications, or a related field and 2+ years of experience, preferably in a law firm or other professional services environment.
The Event Coordinator will report to the Senior Events Manager and work collaboratively with colleagues in client development and communications to execute the firm's event and marketing initiatives.
The duties may include, but are not limited to:
  • Assisting with the planning and on-site execution of firm-hosted events, including webinars, in-person programs, networking receptions, and client entertainment events.
  • Managing email invitations, RSVP, attendee tracking, and post-event data processes through the firm's CRM and email marketing platforms.
  • Preparing post-event reports, including attendance, engagement, costs, lessons learned, measurement of results, and recommended follow-up and future improvements.
  • Maintaining and updating event calendars and related internal tracking tools to ensure visibility into upcoming events, deadlines, and responsibilities.
  • Coordinating sponsorship benefits, deliverables, and promotion, including internal tracking, logo placement, advertising, signage, registrations, marketing materials, branded promotional materials, and internal and external promotion.
  • Serving as the primary liaison to the firm's expense and invoice management system, including reviewing all items charged to the marketing budget and researching historical expense information as needed.

The ideal candidate must also have the following skills:
  • Exceptional accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Time management and project management skills, including the ability to manage multiple priorities with tight deadlines.
  • Ability to perform effectively under pressure in a fast-paced, service-oriented environment.
  • Ability to manage deliverables from multiple sources and proactively follow up as necessary.
  • Necessary computer skills include Microsoft Office (Outlook, Word, Excel, etc.).
