Job description

Position Overview

We are seeking a detail-oriented and proactive Instrument Coordinator to oversee the tracking, coordination, and optimization of surgical instruments and related equipment across multiple facilities. This role serves as a liaison between Sterile Processing, Operating Room teams, Supply Chain, and vendors to ensure instruments are properly maintained, available, and compliant with regulatory standards to support efficient surgical operations and patient safety.

Key Responsibilities

  • Maintain accurate inventory and tracking of surgical instruments, trays, and specialty equipment.
  • Coordinate instrument movement, repairs, preventative maintenance, and loaner instrumentation.
  • Ensure instrument sets are complete, functional, and available to support surgical schedules.
  • Collaborate with Sterile Processing and OR teams regarding case needs, missing instruments, and priority turnovers.
  • Inspect instruments for cleanliness, functionality, and damage while ensuring compliance with AAMI, Joint Commission, and infection prevention standards.
  • Manage vendor relationships related to repairs, loaner trays, service agreements, and contract compliance.
  • Track and report on inventory utilization, repair activity, and operational performance metrics.
  • Assist with inventory audits, instrument standardization, and process improvement initiatives.
  • Maintain accurate documentation within instrument tracking and sterilization systems.

Qualifications

  • Associate or bachelor’s degree preferred in healthcare, business, supply chain, or related field.
  • 2–5 years of experience in sterile processing, surgical services, instrument coordination, or healthcare inventory management.
  • Knowledge of surgical instrumentation, sterilization processes, and sterile processing workflows.
  • Experience with instrument tracking systems and inventory management software.
  • Strong organizational, communication, and problem-solving skills.

Preferred Qualifications

  • CRCST certification preferred.
  • Experience working in Sterile Processing or Operating Room environments.
  • Knowledge of AAMI standards, Joint Commission requirements, and infection prevention practices.
