Job description

Salary: $24.00 -$25.50 Hourly w/ Commission

Position Title:
Sales Coordinator


Principle Responsibilities & Position Purpose:

This position will help establish new client contacts and relationships, particularly in the local Bakersfield market, to increase and maximize group sales and special events. Promote customer relationships through effective negotiation of services. Assist in the set-up and execution of events. Book and sell private and semi-private parties. Plan, design and implement marketing strategies and campaigns for the Padre Hotel. Help implement any improvements needed in the Sales and Events Department.


Rate of Pay: $24.00-$25.50 + 1.5% Commissions on individually worked events.


EXAMPLE OF DUTIES (ESSENTIAL FUNCTIONS):

  • Create and send out proposals for perspective clients after they are approved by the Event Sales Manager. Proposals may include site rental fees, third party rentals, customized or standard food and beverage services, music, other entertainment, enhanced dcor, lighting and rentals and all associated pricing.
  • Conduct site tours of the venue and entertain prospective clients.
  • Track and record all leads and prospective client information, reservations and reservation details per the Company events tracking system.
  • Promote and sell The Companys event services to the local Bakersfield market, including but not limited to businesses, schools, associations, sports event planners, wedding planners and individuals for birthday parties, bachelor and bachelorette parties, Bar mitzvahs and Bat mitzvahs and social gatherings.
  • Initiate means to promote event sales to new customers.
  • Research and visit new companies and create leads.
  • Build local awareness of The Company and the variety of opportunities it has to offer.
  • Create and implement direct mail and email campaigns and other marketing strategies.
  • Assist in the promotion and selling of Events. Write event contracts for booked events, and coordinate the execution of the contracts and associated billings with the Event Sales Manager, the Food and Beverage Managers, and the client, once approved by the management team. Forward all information pertaining to booked events to the Event Sales Manager.
  • Review with the Event Sales Manager all work orders, menus, diagrams and all detailed information pertaining to events you booked.
  • Assist in the setup and execution of events. Ensure that the timing of the event is going according to the BEO (Banquet Event Order). Ensure the event set-up and dcor is in conjunction with the diagram pertaining to the specific event. Coordinate and meet the needs of the client during the event (within reason) after seeking approval from the MOD (manager on duty)
  • Efficiently schedule and organize all Padre events and parties and communicate all booked parties to the corresponding scheduling manager. Educate patrons about all facility rules and regulations.
  • Attend weekly event operations and event sales meetings
  • Participate in local business functions such as local Chamber business mixers

SUPPORTIVE FUNCTIONS

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by management based upon the particular requirements of the company.

  • Maintain and use communication and scheduling systems between company entities.
  • Represent the image of the Company with customers, on the telephone, and among co-workers.
  • Follow/enforce company policies and procedures.
  • Create a courteous, friendly, professional work environment.
  • Assist in collecting all paperwork needed for Event P&Ls from each respective event and file accordingly
  • Generate weekly reports through Caterease.
  • Keep inventory of party equipment and order supplies as necessary and approved by management.
  • Organize and file all party paperwork.
  • Respond to all inquires, questions, and messages regarding birthday parties packages.
  • Perform other duties or tasks as assigned by the Sales Manager.

EDUCATION

High School graduate or equivalent required.

College Degree preferred.

EXPERIENCE

Minimum: One to Two years of sales & marketing management experience.

Minimum of two years of hospitality sales experience. (i.e., hotel, catering, convention)

Previous hospitality experience preferred.
