Ashley Martin Home is a high-end residential interior design firm focused on creating timeless, layered, and highly detailed homes. Our projects involve extensive furnishings procurement, custom selections, and complex coordination across hundreds of products, vendors, and client specifications.
We are seeking a highly organized, detail-driven Procurement Coordinator to support the operational side of our design and purchasing process.
This is not a traditional bookkeeping or simple invoicing role. This position sits at the center of our procurement operations and requires someone who thrives in complexity, moves quickly with accuracy, and can manage large volumes of detailed information.
Job Description
The Interior Design Procurement Coordinator is responsible for building detailed client estimates and managing the administrative side of furnishings procurement for residential interior design projects.
This role works closely with the design team to translate approved client presentations into highly accurate procurement estimates consisting of hundreds of individual product line items across multiple vendors.
The ideal candidate is exceptionally organized, process-oriented, detail-focused, and comfortable managing complex pricing structures, vendor-specific quoting methods, and high-volume data entry with speed and accuracy.
Responsibilities
  • Create detailed client estimates within QuickBooks Online based on approved design presentations
  • Review designer selections and specifications from Dropbox and supporting spreadsheets
  • Compile and organize detailed procurement information including:
    • vendor pricing
    • finishes
    • fabrics
    • dimensions
    • custom specifications
    • COM requirements
    • freight/storage allocations
  • Apply markups and pricing calculations accurately across large-scale estimates
  • Coordinate pricing and quoting information across multiple vendors with varying processes
  • Enter and maintain detailed estimate and invoicing information in QuickBooks Online
  • Manage high-volume line-item procurement documentation with speed and precision
  • Support ongoing procurement administration and project accounting workflows
  • Maintain accuracy across complex multi-vendor projects
  • Collaborate closely with the design and operations teams to ensure procurement accuracy and efficiency

Qualifications
Required
  • Highly detail-oriented with strong organizational skills
  • Ability to manage large amounts of information accurately and efficiently
  • Strong Excel proficiency
  • Experience working within structured processes and systems
  • Ability to work quickly while maintaining a high level of accuracy
  • Strong problem-solving skills and follow-through
  • Comfortable managing repetitive but highly detailed work
  • College degree required

Preferred
  • Experience in interior design procurement, purchasing, estimating, or project accounting
