Job description

Title: Horsemen’s Bookkeeping Coordinator - Temporary

Employee Status: Temporary Full Time

Work From Home Option: Not Applicable

FLSA Status: Non-Exempt

Job Overview:

Maintain horsemen’s accounts in accordance with policies and procedures. Provide customer service and handle various financial activities for authorized horsemen who maintain accounts with NYRA. Cross-train in the use of the Incompass System (Track Manager). Process office mailings and perform various other tasks as directed by Horseman's Bookkeeper.

Essential Functions:

  • Perform various activities for maintaining horsemen’s accounts in accordance with policies and procedures, which involve the following:
    • Provide, receive, and file (digitally) all required documentation such as signature cards,
      tax forms and Photo ID’s.
    • Perform up to date data entry of horsemen information.
    • Perform research for accounts with returned mail.
  • Compliance:
    • Obtain Compliance paperwork for all new accounts (LLC, Articles of Incorporation,
      Banking Verification for Corporate wires in and out), as well as updates for existing
      accounts.
    • Submit Compliance paperwork to the Compliance Officer for approval.
    • File and maintain compliance records on all Horsemen accounts once approved.
    • Process background checks for all new owners, trainers and jockeys using Lexis Nexis
      and CaseWare or current software provided by NYRA.
  • Provide customer service and handle various financial activities for authorized horsemen who maintain accounts with NYRA.
    • Process a high volume of check disbursements daily while following policies and procedures.
    • Complete a check tape daily which balances with Incompass check register.
    • Provide quality customer service for horsemen in person, as well as, on the phone.
  • Crosstrain in the use of the Incompass System.
    • Learn to perform Race Convert, Charge Gaming Commission Fee, post races, charge
      claims on horses, as well as other necessary transactions.
    • Learn to process deposits and withdrawals to/from horsemen’s accounts to include cash,
      checks, wire transfers for satisfying various fees, such as, stalls and insurance.
    • Learn to prepare the daily excel sheet.
  • Perform various other tasks:
    • Mail account statements at the end of every meeting.
    • Assist Horsemen’s Bookkeeper with yearly escheatment process.
    • Assist Horsemen’s Bookkeeper with yearly processing of tax forms.
    • Assist Horsemen’s Bookkeeper with online ordering of supplies.
    • Research and verify account information as needed.
    • Process miscellaneous mailings to horsemen.
    • Handle all office mailing, invoices, statements etc.

Qualifications:

  • Other Requirements:
  • Education (minimum): Bachelor’s Degree
  • Strong computer skills including Excel.
  • Required work locations: Aqueduct, Belmont, and Saratoga.
  • Knowledge of horse racing is a plus.
  • Knowledge Required: Computer experience required, especially Microsoft Office. The ability to adapt to a changing environment. Good customer service skills.

Pay Range / Salary: $24.00-$25.00/hr
