Accounting Coordinator

Position Title: Accounting Coordinator

Department: Accounting / Finance

Reports To: Controller

FLSA Status: Non-Exempt (or Exempt, as determined by company policy)

Position Summary

The Accounting Coordinator is responsible for supporting the daily accounting operations of the agency by maintaining accurate financial records, reconciling insurance commissions, processing company payables, and assisting with month-end accounting activities. This position works closely with the Controller, agency owners, insurance carriers, and employees to ensure timely and accurate financial reporting and excellent internal customer service.

Responsibilities

Essential Duties and Responsibilities

Accounting & Financial Operations

Perform direct bill commission reconciliations for all Property & Casualty policies.

Review daily bank activity and reconcile transactions with AMS360 accounting records.

Process and reconcile insurance company payables.

Record bi-weekly payroll journal entries.

Assist with end-of-month accounting procedures and financial reconciliations.

Assist with direct bill commission reconciliation for Life & Health policies as needed.

Financial Controls

Verify the accuracy and completeness of financial transactions.

Investigate and resolve accounting discrepancies.

Maintain organized accounting records and supporting documentation.

Ensure accounting procedures comply with agency policies and carrier requirements.

Communication & Customer Service

Communicate professionally with agency owners, producers, insurance carriers, and employees.

Respond promptly to accounting inquiries.

Collaborate with all departments to resolve accounting issues.

Administrative Support

Assist the Controller with additional accounting and administrative duties.

Participate in special projects and process improvement initiatives.

Maintain confidentiality of financial and employee information.

Requirements

Qualifications

Associate degree in Accounting, Finance, Business, or related field preferred, or equivalent experience.

Accounting or insurance agency accounting experience preferred.

Strong attention to detail and organizational skills.

Excellent communication and analytical abilities.

Technical Skills

AMS360 or similar agency management system experience preferred.

Microsoft Excel, Word, and Outlook proficiency.

Accounting software and online banking experience preferred.
