Job description

Overview

PACE Supply Corp. is seeking a motivated, organized, and detail-oriented professional to join our team as a Corporate Facilities Administrator based in Stockton, CA. This role is responsible for overseeing the day-to-day operations of the Corporate Facilities department, ensuring facilities, projects, and staff are managed efficiently while supporting company goals and operational needs. This role partners closely with the Real Estate & Facilities Manager to oversee facility maintenance, capital improvement projects, new branch openings and expansions, vendor relationships, budgets, and departmental processes. The Corporate Facilities Administrator leads and mentors facilities staff, drives continuous process improvements, ensures projects are completed on time and within budget, and collaborates cross-functionally to maintain and enhance PACE Supply's facilities across all locations.

Responsibilities

Develop and Lead the Facilities Team

  • Recruit, develop, and lead a high-performing Facilities team.
  • Establish team priorities and plan for future systems, processes, and organizational growth.
  • Mentor and support team members to drive performance and continuous improvement.

Partner with Branch and Division Leadership

  • Collaborate with Branch Managers to maintain a consistent, professional appearance across all branch locations.
  • Prioritize facility safety issues and ensure they are resolved promptly.
  • Ensure branch maintenance requests are addressed in a timely manner.
  • Hold janitorial companies and other contractors accountable for maintaining company standards.
  • Follow up with Branch Managers to verify services were completed to expectations and quality standards.

Project Management and Coordination

  • Solicit, review, and evaluate competitive bids, and select contractors for facility projects.
  • Monitor project schedules, track progress, and proactively identify potential issues.
  • Conduct site visits to verify project progress and ensure quality workmanship.
  • Manage change orders and design modifications throughout the project lifecycle.

Manage Service Providers

  • Track required inspections and ensure compliance with all applicable government regulations.
  • Identify, evaluate, and onboard new service providers as needed.
  • Oversee the Facilities work order/ticket system, ensuring requests are properly prioritized and resolved.

Administrative Responsibilities

  • Review and approve service invoices and project progress payments.
  • Ensure all required routine inspections are completed on schedule.
  • Maintain and update a preferred vendor list by region.
  • Oversee the electronic filing and organization of drawings, contracts, photographs, and other critical facility records.
Qualifications
  • Associate's degree in Construction Management, Business, or a related field, or an equivalent combination of education and experience.
  • Minimum of 3 years of experience in the construction, facilities, or related industry.
  • At least 3 years of experience successfully leading and managing a team.
  • Proven track record of motivating, coaching, and developing employees while fostering a positive, high-performing work environment.
  • Ability to perform effectively in a fast-paced, dynamic, and occasionally high-pressure environment.
  • Self-starter with the ability to adapt quickly, think critically, and make sound decisions independently.
  • Excellent organizational and time management skills, with the ability to prioritize multiple projects and meet deadlines.
  • Strong verbal and written communication skills.
  • Excellent interpersonal skills with the ability to build effective working relationships across all levels of the organization.
  • Valid driver's license with an acceptable driving record.
  • Ability to travel regularly to branch locations and perform related job functions.
  • Reliable personal vehicle available for business travel as needed. Mileage will be reimbursed at the current IRS-approved rate.
  • Ability to lift and carry up to 50 pounds.
Preferred Qualifications
  • Bachelor's degree in Construction Management, Business, or a related field.
  • Five to ten years of industry experience with a combination of office and field operations experience.
  • Experience managing multiple locations, coordinating facilities or construction projects, and working collaboratively with cross-functional teams.
