Lewis seeks an organized, detail-oriented Administrator to join our Commercial Property Management team at the corporate office. In this role, you'll provide administrative, accounting, and operational support to our Commercial Property Management team while working with tenants, vendors, contractors, and internal associates.
This is a great opportunity for someone with strong administrative skills who enjoys managing details, staying organized, and supporting a busy property management operation.
Your Work will include:
  • Provide day-to-day administrative support to the Commercial Property Management group.
  • Prepare, organize, review, and maintain tenant and department documentation.
  • Prepare and accurately file tenant notices and other property-related correspondence.
  • Code and process vendor invoices and assist with payment administration.
  • Prepare, process, and maintain purchase orders.
  • Administer and maintain contracts for vendors, subcontractors, and other property management partners.
  • Communicate with contractors and vendors regarding maintenance needs, scheduling, and insurance requirements.
  • Assist tenants and internal associates with invoice and payment-related questions.
  • Answer department phone lines and respond professionally to tenants, vendors, and the public.
  • Provide additional administrative support to Commercial Property Managers and assist with departmental projects as needed.
  • Tracking and follow-up through completion for all assignments.
  • Follow established safety procedures.
  • Note: Occasional after-hours availability may be required to support property needs.

Skills for Success:
  • 3-4+ years of administrative experience preferred, ideally within an office or commercial property management environment.
  • Strong organizational skills with the ability to manage multiple priorities and requests simultaneously.
  • Excellent attention to detail and accuracy, particularly when working with invoices, purchase orders, contracts, and property documentation.
  • Strong communication and customer service skills.
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to learn and work with systems such as Bottomline, JDE, MRI, and other property management or accounting software.
  • Note: a valid driver's license and reliable transportation may be required for occasional travel to Company properties.
