Key responsibilities

  • Own follow-up for inbound leads, sample requests, quotes, and active opportunities from first contact through purchase or documented closure.

  • Coordinate routine sample requests, supporting documentation, shipment details, and status updates.

  • Identify account-expansion opportunities across Chemspire proprietary ingredients, the Symrise portfolio, and complementary commodity ingredients.

Job description

POSITION SUMMARY

Chemspire is looking for a highly organized, commercially minded professional to own the follow-up and account-growth engine behind our sales team. This person will coordinate samples and quotes, maintain Microsoft Dynamics, follow projects through long formulation and stability-testing cycles, reactivate stalled opportunities, and identify cross-selling opportunities within current accounts. The right candidate will combine the discipline of sales operations with the confidence and curiosity of an inside salesperson.

CORE RESPONSIBILITIES

  • Own follow-up for inbound leads, sample requests, quotes, and active opportunities from first contact through purchase or documented closure.
  • Ensure every active opportunity in Microsoft Dynamics has a clear stage, owner, next action, and next follow-up date.
  • Coordinate routine sample requests, supporting documentation, shipment details, and status updates.
  • Prepare standard quotes using approved pricing guidelines and escalate exceptions or strategic pricing decisions.
  • Contact customers at the right points in their evaluation process, including formulation, stability testing, customer review, approval, and commercialization.
  • Reactivate dormant leads and opportunities with relevant, personalized outreach rather than generic 'just checking in' emails.
  • Build post-purchase follow-up into the customer journey, including production feedback, reorder timing, project status, and additional ingredient needs.
  • Identify account-expansion opportunities across Chemspire proprietary ingredients, the Symrise portfolio, and complementary commodity ingredients.
  • Schedule Teams calls and customer meetings for qualified technical or commercial opportunities.
  • Maintain accurate pipeline data and provide a concise weekly report covering activity, next steps, bottlenecks, projected revenue, and opportunities needing leadership support.

WHAT WE ARE LOOKING FOR

  • 2+ years of experience in inside sales, sales operations, account coordination, customer success, or a related B2B role.
  • Strong organizational skills and the ability to manage a high volume of opportunities without losing attention to detail.
  • Excellent written communication with a friendly, professional, and helpful tone.
  • Comfortable contacting customers by email and phone, asking clear project-status questions, and guiding conversations toward a next step.
  • Experience using Microsoft Dynamics or another CRM; willingness to become a power user and process owner.
  • Commercial curiosity: able to recognize when one customer need may create opportunities for additional ingredients.
  • Reliable follow-through, sound judgment, and the confidence to work independently in a small, fast-moving family business.
  • Experience in specialty chemicals, personal care, cosmetics, ingredients, distribution, manufacturing, food, pharmaceuticals, or another technical B2B industry is strongly preferred but not required.

COMPENSATION & WORK ARRANGEMENT

  • Compensation includes a base salary plus a significant performance-based commission opportunity.
  • The incentive plan will reward measurable revenue generated through converted opportunities, reactivated projects, repeat orders, and account expansion.
  • This is a full-time role based in Boonton, New Jersey. The position is primarily on-site, with the opportunity to work from home based on performance, training progress, and business needs.
  • The role reports directly to Morgan Mahon and works closely with Chemspire leadership, sales, customer service, logistics, and technical partners.

WHY JOIN CHEMSPIRE

  • Join a growing company where your work will directly influence revenue and customer experience.
  • Work with innovative ingredient technologies and a broad portfolio serving multiple consumer-product categories.
  • Gain visibility into sales strategy, account management, operations, marketing, and the growth of a family-owned business.
  • Build a role with real ownership rather than being limited to narrow administrative tasks.
  • Earn meaningful commission by helping turn existing demand and strong customer relationships into measurable growth.
