Assistant Athletic Director

The Assistant Athletic Director serves as the primary administrative support professional and secondary administrator within the Athletics Department. This position is responsible for overseeing daily business operations, financial administration, travel coordination, compliance support, game operations, student-athlete support services, and departmental reporting.
Duties and Responsibilities:
Working closely with the Athletic Director, the Assistant Athletic Director ensures efficient departmental operations, compliance with institutional, conference, NJCAA/TCCAA, and state regulations, and the successful execution of athletic programs and events. The position acts on behalf of the Athletic Director when designated and serves as a key resource for coaches, staff, student-athletes, and campus stakeholders.
RESPONSIBILITIES:
Financial Administration
  • Process and monitor accounts payable and accounts receivable activities for the Athletics Department.
  • Prepare purchase requisitions, purchase orders, invoices, and payment documentation.
  • Reconcile departmental expenditures and maintain accurate financial records.
  • Assist with budget preparation, budget tracking, and financial reporting.
  • Monitor athletic program expenses to ensure compliance with institutional policies and budget allocations.
  • Coordinate deposits, revenue collections, fundraising receipts, and game-day financial transactions.

Travel and Team Operations
  • Coordinate and assist Head Coaches as needed with all athletic team travel arrangements, including:
    • Hotel reservations
    • Transportation logistics
    • Team meal arrangements
    • Travel itineraries
  • Process Travel Authorizations, Travel Claims, and reimbursement documentation for all team and coaches' travel.
  • Ensure compliance with college travel regulations and budget guidelines.
  • Maintain travel records and supporting documentation for audits and reporting purposes.

Compliance and Athletic Oversight
  • Assist the Athletic Director with monitoring compliance related to:
      • NJCAA regulations
      • TCCAA regulations
      • Institutional policies
      • Student-athlete eligibility requirements
    • Maintain compliance records and documentation.
    • Coordinate the collection and tracking of required student-athlete forms.
    • Assist with eligibility certification and roster verification processes.
    • Prepare reports and documentation for conference, state, and federal requirements.
    • Monitor compliance deadlines and communicate requirements to coaches and staff.

Athletic Food Pantry Management
  • Oversee the Athletic Food Pantry program for student-athletes.
  • Coordinate inventory management, purchasing, donations, and distribution.
  • Develop partnerships with campus and community organizations to support food pantry initiatives.
  • Track utilization and prepare reports regarding food pantry operations.
  • Promote student-athlete wellness through access to nutritional resources.

Administrative Operations
  • Provide direct administrative support to the Athletic Director.
  • Manage departmental correspondence, calendars, and scheduling.
  • Prepare reports, agendas, meeting minutes, and official communications.
  • Coordinate departmental recordkeeping and document management systems.
  • Maintain personnel files and departmental administrative records.
  • Assist with hiring paperwork, onboarding, and administrative processes for athletic staff.

Student-Athlete Support Services
  • Assist student-athletes with administrative processes related to participation and eligibility.
  • Coordinate student-athlete recognition programs and special events.
  • Support retention, academic monitoring, and student success initiatives.
  • Serve as a resource for student-athletes regarding departmental procedures and support services.

Leadership Responsibilities
  • Serve as the Athletic Director's designee when assigned.
  • Provide operational guidance and support to coaches and athletic staff.
  • Assist with policy development and implementation.
  • Participate in departmental planning and leadership meetings.
  • Coordinate special projects and initiatives on behalf of the Athletic Director.
  • Promote a culture of compliance, accountability, and student-athlete success.

Working Conditions:
At times active. Must be able to lift to 25 pounds. Some outdoor work is required (i.e., assistance at golf tournaments). Occasional night and weekend work required for game day duties.
Required Qualifications:
Bachelor's degree with three years of athletic administration or coaching experience within an NJCAA or TCCAA college. Applicant must have attention to detail and working knowledge of MS Office (Word, Excel, Outlook, Etc.) Ability to remain adaptable and flexible to different situations and changes, including learning new systems and processes.
Preferred: Master's degree in Higher Education and one year of experience in Athletic Administration or Compliance, and experience within an NJCAA or TCCAA college.
Salary Range: $40,050-$50,035
