Job Summary:


The Executive Administrator provides high-level administrative and operational support to senior leadership. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced, secure environment. The Executive Administrator will manage daily administrative functions while ensuring compliance with Department of the Air Force (DoW) processes, terminology, and security requirements.

Responsibilities:

  • Provide comprehensive administrative support to executive leadership, including calendar management, scheduling, and coordination of meetings.
  • Prepare, review, and distribute correspondence, reports, briefings, and presentations.
  • Maintain records, files, and documentation in accordance with DoW processes and security protocols.
  • Serve as a liaison between leadership, internal teams, and external stakeholders.
  • Manage travel arrangements, expense tracking, and logistical coordination.
  • Ensure accurate and timely handling of sensitive and classified information.
  • Utilize Microsoft Office tools to create documents, spreadsheets, and presentations.
  • Support special projects and ad hoc administrative tasks as required.


Requirements:

  • Must be a US citizen.
  • Must have an active TS/SCI clearance with the ability to obtain a CI Poly.
  • Minimum of 3 years of administrative or executive administrative experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Working knowledge and understanding of DoW processes and terminology.
  • High school diploma or equivalent.
  • Strong organizational, communication, and time-management skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Successful background and drug screening check.

Preferred Requirements:

  • Experience supporting senior-level executives in a government or defense environment.
  • Familiarity with classified document handling and secure office operations.
  • Experience using the Defense Travel System (DTS), including preparation and reconciliation of travel authorizations and expense reports.
  • Associate or bachelor’s degree in business administration or a related field.
  • Experience working in a fast-paced, mission-driven organization.
