About Build Manage

Build Manage supports an integrated group of Southwest Florida construction companies spanning residential homebuilding, shell construction, design and finish products, and pool construction. We are seeking a hands-on Controller who can lead the accounting team, strengthen financial controls and ensure that every contract, job, budget, purchase order, invoice, draw, cost and intercompany transaction is recorded accurately and on time. 


Position Summary

The Controller is the accounting owner for Build Manage and its operating companies and reports to the CFO/executive leadership. This position leads day-to-day accounting, financial close, AP/AR, job costing, inventory, WIP, payroll accounting, reconciliations and internal controls. The Controller must understand construction operations and ensure that Buildertrend and QuickBooks provide one reliable version of the financial truth. 


Key Responsibilities

  • Lead and develop the accounting team supporting accounts payable, accounts receivable, payroll accounting, reconciliations, job costing and financial reporting. 
  • Own monthly, quarterly and annual close processes and deliver accurate entity-level and consolidated financial statements by the 15th of the following month. 
  • Oversee the general ledger, journal entries, balance-sheet reconciliations, schedules, intercompany accounts and supporting documentation. 
  • Manage the full AP cycle: vendor setup, W-9/insurance review, invoice intake, coding, PO matching, approval routing, payment scheduling, disbursement, credits, lien documentation and 1099s. 
  • Manage AR, customer deposits, progress billing, construction draws, allowance reconciliations, retainage, collections, final billing and unapplied cash. 
  • Own financial process integrity between Buildertrend (BT) and QuickBooks Enterprise (QB), including weekly synchronization and exception resolution. 
  • Control job opening in BT and QB using standardized naming, correct legal entity, customer/job, contract type, model/plan, market, funding type and approved start documentation. 
  • Verify each opening budget against the current approved cost matrix for the correct plan, elevation, market, municipality and specification level, plus approved options, allowances and lot-specific costs. 
  • Maintain matrix version control and require authorization for budget changes; distinguish original budget, revisions, committed cost, pending exposure, forecast-to-complete and actual cost. 
  • Reconcile BT job-cost reporting to QB monthly and investigate missing commitments, miscoding, unapproved variance POs, late invoices and cost shifting. 
  • Prepare and review construction WIP, including contract value, approved changes, costs incurred, estimated cost to complete, expected gross profit, billings and over/under billings as applicable. 
  • Oversee inventory and construction-in-progress, including lots, active spec homes, completed homes, design/pool materials, physical counts, aging, transfers and write-offs. 
  • Maintain a rolling cash forecast, banking reconciliations, debt schedules, lender reporting and visibility into upcoming draws, collections, payroll and vendor payments. 
  • Enforce segregation of duties, approval matrices, system access, wire/ACH controls, vendor bank-change verification, positive pay and audit-ready documentation. 
  • Partner with Purchasing and Operations to review cost matrices, open POs, budget variance, cost-to-complete, margin trends and job closeout. 


What Success Looks Like

  • Financial statements are accurate, supported and issued by the 15th. 
  • BT and QB reconcile and all active jobs have complete setup and validated matrix-based budgets. 
  • AP, AR, deposits, inventory, WIP, cash and intercompany balances are controlled and visible. 
  • Job-cost and margin problems are identified early, assigned and resolved. 
  • Accounting processes are documented, measurable and cross-trained. 
  • Payment and system controls materially reduce fraud and reporting risk. 
Requirements:

Required Qualifications

  • Bachelor's degree in accounting, finance or a related field; CPA or CMA strongly preferred. 
  • Substantial progressive accounting experience, including Controller or comparable leadership responsibility. 
  • Strong construction accounting experience covering job costing, WIP, draws/progress billing, committed costs, change orders, retainage and closeout. 
  • Experience managing multiple companies, divisions or legal entities and reconciling intercompany activity. 
  • Advanced practical knowledge of QuickBooks Enterprise and meaningful Buildertrend experience strongly preferred. 
  • Demonstrated leadership of AP, AR, payroll and close/reporting teams. 
  • Advanced Excel, reconciliation, cash-forecasting and variance-analysis skills. 
  • Hands-on, investigative and deadline-driven, with the ability to hold teams accountable while partnering effectively with operations.
