Job description

The Facilities CMMS Administrator & Analyst is responsible for the ownership, configuration, and data integrity of the Facilities Computerized Maintenance Management System (CMMS). This role supports Facilities operations by ensuring accurate asset data, preventive maintenance execution, work order tracking, spare parts inventory control, and maintenance reporting.

**Please note that this position will be located onsite at our facility in Columbia, SC.**

Responsibilities:

  • Serve as system owner for the Facilities CMMS module, ensuring configuration accuracy and data integrity
  • Maintain accurate Facilities asset hierarchies, equipment records, locations, and asset criticality rankings
  • Develop, implement, and maintain preventive maintenance (PM) programs for Facilities equipment and infrastructure
  • Ensure Facilities work orders are properly created, executed, documented, and closed in accordance with site procedures
  • Monitor PM compliance, Facilities work order backlog, and maintenance metrics
  • Develop and maintain Facilities maintenance dashboards and reports for leadership review
  • Analyze CMMS data to identify Facilities maintenance trends and reporting needs
  • Manage and maintain spare parts inventory within the CMMS, including:
  • Establishing minimum and maximum stock quantities
  • Monitoring reorder points and usage trends
  • Ensuring accurate part descriptions and asset associations
  • Supporting cycle counts and inventory accuracy initiatives
  • Partner with Facilities leadership to forecast spare parts demand and reduce stockouts or excess inventory
  • Ensure maintenance documentation supports audit readiness and traceability for Facilities activities
  • Define CMMS user roles and permissions related to Facilities operations
  • Provide CMMS training and support to Facilities and maintenance personnel
  • Identify data quality gaps and drive corrective actions within the Facilities maintenance program
  • Serve as primary liaison with IT for Facilities-related configurations and support
  • Bachelor's degree in Engineering, Operations, Supply Chain, Business, or related field, or equivalent experience
  • Minimum 3 years of experience working with a CMMS in an industrial or manufacturing environment
  • Experience managing preventive maintenance programs and maintenance data
  • Experience with spare parts inventory management within a CMMS
  • Strong proficiency in Microsoft Excel and data analysis
  • Experience in regulated or GMP-adjacent environments
  • Experience with CMMS platforms
  • Knowledge of maintenance KPIs (PM compliance, MTBF, MTTR, backlog management)
  • Experience with dashboarding tools (Power BI or similar)
  • Familiarity with cycle counting and inventory control processes
  • Strong analytical and organizational skills
  • High attention to detail and data integrity
  • Ability to exercise independent judgment in system governance and reporting
  • Strong cross-functional communication skills
  • Continuous improvement mindset
  • Ability to balance maintenance priorities with inventory control
