Job description

HGA is seeking two (2) Project Coordinators to support operations in Houston, TX. The Project Coordinator supports the successful planning, execution, and closeout of heavy civil construction projects by providing administrative, technical, and operational support to Project Managers and field teams. This position is responsible for coordinating project documentation, procurement, scheduling, subcontractor communications, and cost tracking while ensuring projects are completed safely, on schedule, within budget, and in accordance with contract requirements. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment.
Key Responsibilities:
  • Assist Project Managers in planning, coordinating, and administering heavy civil construction projects from award through closeout.
  • Prepare and maintain project documentation, including RFIs, submittals, change orders, meeting minutes, daily reports, and correspondence.
  • Coordinate with owners, engineers, inspectors, subcontractors, vendors, and field personnel to support project execution.
  • Support procurement by obtaining quotes, issuing purchase orders, tracking material deliveries, and coordinating equipment rentals.
  • Monitor schedules, identify potential delays or resource constraints, and assist with project forecasting and status reporting.
  • Track project costs, quantities, invoices, subcontractor pay applications, budgets, and cost reports.
  • Coordinate utility locates, permits, inspections, compliance documentation, and project records.
  • Maintain project files and document control systems in accordance with company standards.
  • Assist with bid packages, subcontract agreements, startup documentation, and field operations coordination.
  • Participate in project meetings and distribute agendas, notes, and action items.
  • Ensure compliance with contract requirements, quality standards, company policies, safety programs, and applicable regulations.
  • Support project closeout activities, including punch lists, as-builts, warranties, final invoicing, and turnover packages.
Required Qualifications:
  • Associate's or Bachelor's degree in Construction Management, Civil Engineering, Engineering Technology, Business, or a related field preferred.
  • 2-5 years of experience in project coordination, project engineering, or project administration, preferably in heavy civil construction.
  • Experience supporting public works, DOT, municipal, utility, site development, bridge, highway, or infrastructure projects preferred.
  • Working knowledge of construction contracts, specifications, drawings, scheduling, procurement, budgeting, cost control, and project documentation.
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to read and interpret civil plans, specifications, and engineering drawings.
  • Strong organizational, time management, communication, problem-solving, and decision-making skills.
  • Ability to manage multiple priorities, maintain accurate project records, and build effective relationships with clients, subcontractors, vendors, and internal teams.
  • Capable of working independently while contributing to a collaborative team environment.
Preferred Qualifications:
  • Experience with construction management software such as Procore, HCSS, Viewpoint Vista, HeavyJob, Primavera P6, Microsoft Project, or similar platforms.
