Job Description

The Clinical Trial Financial Manager in the Office of Clinical and Community Trials (OCCT) is responsible for comprehensive tracking, billing, and recovery of clinical research earnings, and serves as the study team's single point of contact for issues related to clinical trial financial management, ensuring that researchers are provided with high quality, efficient, responsive, and responsible research administration services.


Job Duties:

  • Provide administrative support in an intensive customer service environment for the OCCT's clinical research finance service line.
  • Serve as a primary account administrator for account owners. Create accounts and works within Study Tracker and Workday. Allocate, authorize, monitor, and control expenses.
  • Facilitate check and wire-transfer deposits and earnings invoicing for externally funded clinical trials.
  • Maintain accurate earnings, payment, accounts receivable and payable data in Study Tracker and Workday.
  • Responsible for timely reconciliation and close-out of clinical trial accounts.
  • Maintain, oversee, reconcile, and correct errors in accounts.
  • Process a high volume of clinical research, ancillary service, and administrative bills for payment.
  • Communicate regularly with study staff on accrual tracking.
  • Maintain central OCCT tracking system and complete data entry in applicable research systems.
  • Work with other administrators on the procurement process including purchasing, internal requisitioning, and personal and travel reimbursements.
  • May partner with clinical trial / contract managers to craft and analyze payment language and other financial terms in the contract.
  • Communicate routinely with funding agencies, subcontractors, and others.
  • Propose solutions to discovered problems and fix according to proper policy and procedure.
  • Compare actual spending to original budget and identify any variances with particular attention being paid to clinical care expenses and staff/faculty salary.
  • Develop a working knowledge of Research Institute and Hospital policies and procedures as well as a working knowledge of policies and procedures of various funding agencies.
  • Create and maintain excel spreadsheets as necessary to track clinical trial finances.
  • Work closely with Division Administrators to effectively manage faculty accounts and ensure proper spending.
  • Other job functions as assigned.

Knowledge, Skills, and Abilities:

  • Bachelor's Degree.
  • Minimum of three years of work experience involving clinical trials, grant/research administration experience in a hospital, university or other research setting preferred.
  • Minimum of five years of fiscal administration experience strongly preferred.
  • Experience with clinical trial budgets, clinical trial financial management, clinical trial agreements, and/or clinical research regulatory management strongly preferred.
  • Strong mathematical aptitude, strong analytical and organizational skills required.
  • Strong interpersonal, verbal, and written communication skills required.
  • Ability to work independently and as a member of a team and follow through on assignments with minimal direction required.
  • Solution oriented with proven record of managing large scale research projects with diverse complexity required.
  • Ability to quickly reason with information to solve new, unfamiliar problems or independent of any prior knowledge.
  • Exceptional ability to distill complex compliance issues so it is understandable to the lay audience required.
  • Exceptional attention to detail and ability to maintain confidential information required.
  • Ability to handle high volume of work with changing priorities and constant interruptions and establish priorities and deadlines required.
  • Personal computer skills; functional experience with integrated software systems and proficient in Microsoft Office applications and financial computing.
