Job description

We are looking for a detail-oriented Client Team Support Associate to provide high-level administrative support within a fast-paced mortgage company environment in McLean, Virginia. This Long-term Contract position is ideal for someone who is organized, responsive, and confident managing a wide range of office coordination tasks for senior leaders and client-facing teams. The role offers an opportunity to contribute to daily operations by keeping schedules, communications, documents, and travel arrangements running smoothly.
Responsibilities:
• Coordinate complex calendars for managing directors and executive team members, ensuring meetings and priorities are organized effectively.
• Arrange business travel, including itineraries, reservations, and related logistics, while adjusting plans as needed.
• Prepare, scan, file, and maintain documents and records to support accurate and efficient office operations.
• Process expense reports and invoices with close attention to detail and established administrative procedures.
• Provide general administrative assistance such as data entry, correspondence support, and day-to-day office coordination.
• Answer inbound calls professionally, direct inquiries appropriately, and serve as a reliable point of contact for internal and external communication.
• Use Microsoft Office applications, including Excel, to create reports, track information, and support team workflows.• At least 3 years of administrative or office support experience, with a strong preference for candidates who bring 4 or more years in a detail-oriented setting.
• Demonstrated ability to support senior leaders, including managing directors or executive-level teams.
• Strong proficiency in Microsoft Office Suite, with solid working knowledge of Microsoft Excel.
• Experience handling calendar management, travel coordination, document processing, and expense or invoice support.
• Comfortable performing receptionist-style duties, answering inbound calls, and interacting effectively with a variety of stakeholders.
