Position Summary

VRS Cleaning Company is hiring a trilingual (English / Spanish / Portuguese) Operations Manager to run day-to-day cleaning operations across our full vacation rental portfolio. This person is the operational engine of the company: they own partner communication, the Breezeway board, field team supervision, quality control, laundry and linen logistics, and service documentation. The role exists so that ownership can focus on leadership, growth, and strategic partnerships while operations run reliably without follow-up.

Why This Role Exists

As we scale, three structural gaps have emerged that this role is designed to close:

  • Follow-through and responsiveness. Partner requests that require research or coordination should be acknowledged same-day, given an expected completion date, and proactively driven to completion — without the partner needing to chase us.

  • Direct trilingual communication. Our property management partners operate in English. Our Sarasota-area field teams are largely Brazilian and operate in Portuguese; our Costa Rica field teams operate in Spanish; and company leadership works across all three languages. Every conversation that requires translation or relay adds delay and error. This role communicates natively in all three directions, in real time. This is the core of the job and the reason the language requirement is absolute.

  • Operational capacity. Coordination volume has outgrown a single leader. This role absorbs the day-to-day so leadership can focus on quality standards, growth, and key relationships.

Core ResponsibilitiesPartner & Client Communication
  • Single operational point of contact for property management partners; own requests end-to-end.

  • Acknowledge routine requests the same business day with an expected completion date; respond to urgent operational requests within hours.

  • Proactively update partners through completion — no request should require a second follow-up.

Breezeway & Scheduling
  • Own the Breezeway board daily: build and manage cleaning schedules, assign tasks, configure property-specific checklists, and monitor completion with photo documentation.

  • Maintain accurate property data, cleaning scopes, and turnover calendars synced with partner PMS systems.

Quality Control & Field Supervision
  • Assign consistent cleaning teams to properties; eliminate rotating-cleaner variability.

  • Conduct regular inspections and property walk-throughs; run a scoring/feedback loop with cleaning teams.

  • Standardize cleaning scopes and documentation for every service type: departure, owner-stay, touch-up, interim, and deep cleans.

Laundry & Linen Logistics
  • Oversee logistical operations with our laundry/linen vendor end-to-end: pickup and delivery schedules aligned to the turnover calendar, so clean linens are staged before every arrival.

  • Manage linen inventory and par levels by property; track loss, damage, and replacement needs.

  • Hold the vendor to quality and turnaround standards; verify invoicing accuracy and resolve service failures directly.

Vendor & Field Operations
  • Serve as the direct trilingual communication hub between VRS operations and all field teams and third-party vendors across the portfolio — removing relay layers between operations and the people doing the work.

  • Manage subcontractor relationships (e.g., interim and touch-up cleaning vendors): scheduling, scope, quality verification, and invoicing accuracy.

  • Support the transition from subcontracted cleaning to a directly managed local team: recruiting, training, and supervision.

Documentation & Pricing Support
  • Maintain the service catalog: pricing sheets by property size and service type, cleaning scopes, and onboarding packets for new properties.

  • Turn around pricing and scope requests for new property onboarding within one business day.

Success Metrics (First 6 Months)

1. 100% of partner requests acknowledged the same business day with an expected completion date.

2. Zero partner-initiated second follow-ups on open requests.

3. Consistent cleaner assignment per property (same team ≥ 90% of cleans).

4. Standardized scope and pricing documentation published for every service type.

5. Zero turnover delays attributable to linen availability or laundry vendor logistics.

6. Direct communication flowing between VRS operations and all field teams — no relay layers.

Required Qualifications
  • Fully bilingual — English & Spanish. Professional written and spoken fluency in all three. Non-negotiable; this requirement will not be relaxed for otherwise strong candidates.

  • 3+ years in vacation rental operations, housekeeping management, or property care — short-term rental turnover experience specifically, not just commercial or residential cleaning.

  • Breezeway proficiency — hands-on experience managing schedules, tasks, and inspections in Breezeway (or demonstrated mastery of a directly comparable platform such as Turno/Properly with rapid Breezeway ramp-up).

  • Experience with PMS platforms (Track, Guesty, Streamline, Hostaway) and how cleaning operations sync with them.

  • Weekend work required: Thursday–Monday schedule.

  • Demonstrated experience managing field teams and third-party vendors, including laundry or linen logistics.

  • Strong written communicator with a track record of owning requests end-to-end.

  • Thrives in a growth-stage environment, building process together with the team as we expand into new states and markets.

Preferred Qualifications
  • Fully trilingual — English, Spanish, and Portuguese. Professional written and spoken fluency in all three. Non-negotiable; this requirement will not be relaxed for otherwise strong candidates.

Compensation, Benefits & ScheduleAnnual Salary

$55,000 - $66,000
