  • Attend client assessments and client meetings with the Executive Director or designated leadership, and assist with documenting assessment notes, client preferences, service needs, availability, and location considerations
  • Attend candidate interviews and share job-related observations relevant to client and instructor fit, and assist with assignment coordination by gathering and communicating relevant information to the appropriate Manager or Director
  • Coordinate introductions between clients, families, and assigned staff, along with scheduling, communication, and administrative logistics for assigned services
  • Support quality assurance by gathering feedback, following up on assigned client-service matters, and identifying and escalating concerns
  • Conduct new-hire onboarding, including new-hire paperwork, Form I-9 completion following required training, system access setup, and general orientation
  • Support office operations, including distributing payroll checks, internal communications, supplies, and maintaining a professional and welcoming office
  • Plan and coordinate client events, activities, and company gatherings, and participate in internal meetings, audits, and continuous improvement efforts

What we're looking for:

  • Bilingual English/Spanish, with the ability to communicate professionally with families in writing and in conversation (required; assessed during the interview process)
  • Experience in client services, case or care coordination, human services, disability services, or administrative support
  • Familiarity with IHSS, Medi-Cal, regional center processes, or similar benefits paperwork (preferred)
  • Experience supporting individuals with intellectual and/or developmental disabilities (preferred)
  • Strong organizational skills, attention to detail, and consistent follow-through
  • Sound judgment and discretion with confidential client and personnel information
  • Comfort with email, electronic forms, HRIS and client management systems, shared documents, and calendars
  • Ability to manage multiple priorities in a fast-paced environment

Additional requirements:

  • Full-time, in-office position.
  • Ability to travel locally for client assessments, meetings, events, or other business needs as assigned.
  • May occasionally assist with setup or organization of materials for client events or office activities.
