Position Overview: We are seeking a professional and detail-oriented Client Services Coordinator to serve as the first point of contact for visitors and clients. This role supports daily office operations by managing communications, coordinating administrative tasks, and ensuring a welcoming and organized environment. The ideal candidate is highly organized, service-oriented, and able to manage multiple responsibilities efficiently in a fast-paced setting.
Work Arrangement: This is a full-time position working in our office located in Cheshire, CT.
Professional Responsibilities:
  • Serve as the first point of contact by greeting and assisting visitors in a professional and friendly manner.
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate team members.
  • Monitor and distribute incoming and outgoing mail, including USPS, FedEx, and fax communications.
  • Maintain an organized and professional reception area and support overall office operations.
  • Track and manage office supply inventory, ensuring timely ordering and availability.
  • Process Property & Casualty client payments, cancellations for non-pay, and policy reinstatements.
  • Retrieve and distribute policy and renewal documents from carrier websites for both Personal Lines and Commercial Lines.
  • Support Employee Benefits operations by distributing renewal proposals, late payment notices, and assembling open enrollment materials.
  • Assist with administrative projects, workflow coordination, and other tasks as assigned.
Qualifications and Requirements:
  • Proven experience as a receptionist, administrative assistant, or in a similar role.
  • Strong communication and interpersonal skills, with a professional and client-focused approach.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • High attention to detail and strong problem-solving abilities.
  • Ability to manage multiple responsibilities in a fast-paced office environment.
  • Discretion and professionalism when handling sensitive or confidential information.
  • Associate degree in Business Administration or a related field preferred.
